Position Overview

We are seeking a reliable, organized, and customer-focused Sales Administrator / Lot Attendant to support our sales management team and ensure the dealership lot and vehicle inventory are maintained in a clean, organized, and professional manner.

This role combines administrative support with hands-on lot responsibilities. The ideal candidate is comfortable working both at a desk and outdoors, has strong attention to detail, and can manage multiple tasks in a fast-paced sales environment.

Key Responsibilities

Sales Administration

Provide administrative and clerical support to the Sales Department.

Assist sales management staff with paperwork, vehicle files, invoices, and documentation.

Enter and maintain accurate vehicle information in dealership systems.

Coordinate vehicle transfers, deliveries, registrations, and related documentation as required.

Maintain organized records of vehicle inventory and sales-related documentation.

Communicate with sales staff, management, customers, and outside vendors as needed.

Assist with daily reports and other administrative duties.

Lot Attendant Duties

Maintain a clean, organized, and presentable vehicle lot.

Move and position vehicles throughout the dealership property as required.

Ensure vehicles are parked correctly and keys are properly organized and secured.

Perform regular vehicle checks and report any damage, missing equipment, or concerns.

Assist with vehicle deliveries, pickups, and transfers.

Coordinate vehicles for detailing, service, inspections, and customer appointments.

Ensure vehicles are properly fuelled/charged and ready for customer viewing or delivery.

Remove snow, ice, debris, and other hazards from vehicles and walkways as required.

Assist with keeping the showroom and surrounding areas clean and presentable.

Follow all dealership safety procedures when moving or handling vehicles.

Qualifications

Previous automotive dealership, sales administration, customer service, or lot attendant experience is an asset.

Strong organizational and time-management skills.

Excellent attention to detail and accuracy.

Professional communication and customer service skills.

Ability to work independently as well as part of a team.

Comfortable working outdoors in varying weather conditions.

Valid driver's licence with a clean driving record.

Ability to safely operate and move a variety of vehicles.

Basic computer skills and familiarity with Microsoft Office or dealership software.

Ability to prioritize tasks and work effectively in a busy environment.
