Job Title: Psychologist Office Administrator

Employer: Dr. Hilary Cartwright and Associates

Hourly Rate: $25/hour

Employment Type: 30 hours week

About Us: Dr. Hilary Cartwright and Associates is a reputable psychology practice dedicated to providing compassionate and effective mental health services to our clients. We pride ourselves on maintaining a supportive and welcoming environment for both our clients and staff.

Job Description: We are currently seeking a dedicated and organized Office Administrator to join our team part-time. The Office Administrator will play a vital role in ensuring the smooth operation of our office and supporting our team of psychologists in delivering exceptional care to our clients.

Responsibilities:

  • Greet and assist clients in a professional and empathetic manner.
  • Answer and manage phone calls, schedule appointments, and handle inquiries.
  • Maintain confidential client records and ensure accuracy and completeness.
  • Coordinate billing and insurance processing, including verifying coverage and submitting claims.
  • Manage office supplies and inventory, ensuring sufficient stock levels.
  • Assist with administrative tasks such as filing, scanning, and data entry.
  • Collaborate with company director and psychologists to ensure efficient office operations.
  • Support psychologists with administrative tasks as needed.

Requirements:

  • Proven experience as an office administrator, receptionist, or similar role
  • Familiarity with medical or mental health office procedures and terminology is preferred
  • Excellent communication and interpersonal skills, with a compassionate and empathetic demeanor
  • Strong organizational skills and attention to detail
  • Proficiency in Microsoft Office Suite and ability to learn new software quickly
  • Ability to maintain confidentiality and handle sensitive information with discretion
  • Post-secondary experience; additional education or training in office administration is a plus
