As a Payroll Administrator, you will play a critical role in supporting our employees and clients by ensuring payroll accuracy, compliance, and operational excellence. We are looking for someone who aligns with our core values and takes pride in delivering a high level of service and support.

Key Responsibilities:

Payroll Processing

  • Process weekly payroll for all contingent employees, ensuring employees are paid accurately and on time.
  • Calculate and record hours worked, overtime, bonuses, and deductions with a high level of accuracy and attention to detail.
  • Demonstrate accountability by taking ownership of payroll accuracy and proactively resolving discrepancies.

Shift Scheduling and Time & Attendance Tracking

  • Use shift scheduling and time-tracking applications to effectively manage employee schedules.
  • Monitor and ensure accuracy in time and attendance records, including clock-ins, absences, and shift changes.
  • Address and resolve discrepancies in time records promptly and professionally.
  • Listen, investigate, and ask thoughtful questions to identify root causes and implement effective solutions.
  • Continuously look for opportunities to improve scheduling and attendance processes and enhance operational efficiency.

Onboarding Compliance

  • Oversee the onboarding process to ensure compliance with employment regulations and company standards.
  • Collect and verify employee documentation, including tax forms, direct deposit information, and proof of legal work eligibility.
  • Maintain up-to-date employee records in compliance with company policies and legal requirements.
  • Communicate with new hires to ensure they understand payroll procedures, benefits, policies, and expectations.
  • Ensure payroll, onboarding, and scheduling processes comply with federal, provincial, and local labour laws.
  • Support a positive onboarding experience that helps new employees feel welcomed, informed, and set up for success.

Data Management

  • Maintain and update employee payroll, scheduling, and onboarding records.
  • Verify and accurately input timesheet data into payroll systems.
  • Ensure data integrity, confidentiality, and accuracy across all employee records.
  • Take ownership of maintaining complete and accurate information.

Reporting

  • Generate payroll, scheduling, and onboarding compliance reports for internal and external stakeholders.
  • Analyze trends and identify opportunities to improve processes, compliance, and operational effectiveness.
  • Use data and insights to support informed decision-making and continuous improvement.

Customer Service

  • Address payroll, onboarding, and scheduling inquiries from employees promptly, professionally, and with a customer-first mindset.
  • Resolve payroll and scheduling discrepancies while maintaining confidentiality and professionalism.
  • Build strong relationships with employees, clients, and internal stakeholders through effective communication and collaboration.
  • Act with urgency, support others, and create positive experiences through every interaction.
  • Demonstrate confidence, positivity, and professionalism in all communications and interactions.

Systems Maintenance & Continuous Improvement

  • Utilize payroll, shift scheduling, time-tracking, and onboarding software while ensuring system accuracy and data integrity.
  • Ensure system updates are completed and maintained effectively.
  • Recommend and implement process improvements that enhance efficiency, accuracy, and service delivery.
  • Hold yourself to a high standard of performance while continuously seeking ways to improve processes and outcomes.
  • Contribute positively to team success by bringing solutions, initiative, and a proactive approach to challenges.

Qualifications:

Education:

  • Post-secondary diploma in accounting, business administration, or a related field.

Experience:

  • Minimum of 3-5 years of experience in payroll administration.
  • Familiarity with ADP Workforce Now

Skills:

  • Strong attention to detail and accuracy.
  • Excellent organizational and time management skills.
  • Proficient in Microsoft Office Suite (Excel, Word, etc.).
  • Knowledge of Canadian payroll and labour regulations

Other Requirements:

  • Experience with onboarding processes and compliance is highly desirable.
  • Ability to handle sensitive information with a high degree of confidentiality.

Working Conditions:

  • Hybrid, office-based work environment

Pay: $50,000.00-$55,000.00 per year
