Job Summary

Order Desk Clerk

We are looking for an organized, detail-oriented, self-sufficient individual to join our Order Desk team. This role coordinates appliance orders, deliveries, installations, and customer communication from order placement through completion, while also providing customer service and supporting sales through product recommendations, upgrades, and add-on opportunities.

The position primarily supports Builder, Property Management, and Retail customers and works closely with our Sales Team. The role includes coordinating appliance orders and projects of varying sizes, from individual customer purchases and replacement appliances to new home builds and large-scale multi-unit developments. This requires accurate tracking of appliance models, serial numbers, deliveries, installations, and outstanding issues throughout the order process.

Key Responsibilities

  • Receive, review, enter, and maintain appliance orders and purchase orders in Prophet 21 (P21), ensuring customer information, pricing, products, and delivery details are accurate.
  • Coordinate appliance orders, deliveries, installations, removals, and replacements with customers and internal teams.
  • Support Builder and Property Management projects by tracking appliance models, serial numbers, timelines, deliveries, installations, and outstanding items.
  • Monitor inventory, back-orders, damaged products, returns, RMAs, warranty requests, and service-related issues that may affect customer orders.
  • Maintain accurate order and project records and ensure required documentation is complete for invoicing.
  • Communicate proactively with customers regarding order status, product availability, delivery timelines, and outstanding issues.
  • Assist customers with appliance selection and actively identify sales opportunities by recommending appropriate product upgrades, accessories, services, and add-ons based on customer needs.
  • Provide sales support by responding to customer inquiries, preparing product and pricing information, and identifying opportunities to support new or existing customer accounts.
  • Develop product knowledge to confidently discuss appliance features, options, and alternatives with customers.
  • Build and maintain positive customer relationships through responsive, professional service and follow-up.
  • Work closely with Sales, Accounting, Warehouse, Delivery, and Installation teams to resolve issues and keep orders and projects moving efficiently.
  • Provide general administrative and operational support as required.

Qualifications

  • Previous experience in customer service, order entry, sales support, scheduling, administration, project coordination, or a similar role.
  • Strong written and verbal communication skills.
  • Strong organizational and time-management skills.
  • Proficiency with Microsoft Office, particularly Outlook and Excel.
  • Experience with ERP or CRM software is an asset.
  • Experience with Epicor Prophet 21 (P21) is considered an asset.
  • Experience in appliance sales, property management, residential construction, or a related industry is considered an asset.

Pay: $21.00-$24.00 per hour

Expected hours: No less than 40.0 per week
