Full job description

We are seeking an experienced and dedicated Portfolio Manager to oversee our property management operations in multiple portfolios across Edmonton. The ideal candidate should have 2+ years in a similar roll and will possess a strong background in property management, with a focus on enhancing tenant satisfaction and maximizing property performance. This role requires a proactive leader who can effectively manage relationships with tenants, vendors, and staff while ensuring compliance with all relevant regulations.

Duties

· Report directly to the Director of Properties, meet weekly to discuss the performance of the Property Managers

· Meet with each Property Manager weekly to go over AR, renewals, NSF, etc.

· Supervise the activities of existing and forthcoming property managers

· Participate in new hire(s) alongside the Director of Properties

· Train all new PM hires

· Work with Leasing Manager to create all training material for the department to ensure all training material is up to date and readily available

· Conduct reviews with the assistance of Director of Properties

· Approve and schedule department PTO with the assistance of the Director of Properties

· Oversee department’s collections process alongside the Director of Properties

· Ensure Sharefile is organized and well maintained

· Review all RTDRS filing to ensure hearings run smoothly, attend hearings when needed

· Attend annual suite inspections with the Director of Properties

· Be available for any On Call emergencies that need further support

· Oversee PM yearly department budget

· Have regular communication with other Leston Holdings contractors, employees, and managers

· Participate in the compilation of Leston Holdings’ corporate policies and procedural guidelines

· Ensure company policies and the RTA are followed at all times

· Take initiative to ensure that all Leston Holdings properties run effectively & efficiently

· Assess and analyze individual property managers’ performance as well as review overall department target achievement

· Ensure property manager accountability by monitoring and auditing files for accuracy and to ensure the timeliness and follow through of rent collection, eviction, maintenance & turnover.

· Additional point of contact for Property Vista alongside the Director of Properties

· Support PM department for vacation coverage or staff shortage

· Always ensure proper staffing; including managing vacation schedules to mitigate overlapping PTO and days carried forward

· Motivate staff to take initiative and to achieve both short and long-term objectives

· Assist in ensuring that all Leston Holdings’ properties run effectively & smoothly

Skills

  • Proficient in RTA regulations and practices related to affordable housing.
  • Strong understanding of landlord-tenant law.
  • Strong conflict management abilities to handle tenant disputes effectively.
  • Familiarity with PMS preferably Yardi (Computerized Property Management Systems).
  • Solid administrative experience, including data entry, filing, and office organization skills.
  • Exceptional phone etiquette for professional communication with tenants and vendors.
  • Background in real estate administrative tasks is preferred, along with customer service experience in a property management setting.
