SOURCING COORDINATOR

Salary: $55,000 - $65,000

Overview

We are seeking a highly organized and detail-driven Sourcing Coordinator to manage the end-to-end coordination of proposal submissions across our food chain portfolio. This role will act as the central hub between Sales, Procurement, Operations, and Finance to ensure timely, accurate, and competitive RFP roll up and responses.

Key Responsibilities

RFP Coordination & Execution

  • Coordinate the full lifecycle of RFPs from receipt to submission
  • Develop submission timelines, assign responsibilities, and track progress
  • Ensure all bid requirements, formats, and deadlines are met

Cross-Functional Alignment

  • Liaise with Sales, Procurement, QA, Logistics, and Finance teams to gather inputs
  • Follow up on data collection including pricing, specifications, and supply capabilities
  • Ensure alignment across departments for a cohesive proposal

Proposal Assembly & Quality Control

  • Compile and format RFP responses (Excel, Word, customer portals)
  • Ensure consistency, accuracy, and completeness of all submissions
  • Maintain version control and documentation integrity

Pricing & Data Support

  • Support pricing inputs by consolidating cost data (FCA, freight, duties, etc.)
  • Assist in validating pricing models and ensuring alignment with commercial strategy
  • Flag inconsistencies or risks in cost assumptions

Content & Documentation Management

  • Maintain a centralized library of templates, past submissions, and standard responses
  • Continuously improve proposal templates and efficiency of response process

Post-Submission Tracking

  • Track submission outcomes and maintain bid logs
  • Support post-mortem analysis (win/loss insights, feedback tracking)

Qualifications

  • 2–5+ years experience in:
  • RFP coordination, bid administration, or proposal support
  • Food-service, distribution, or supply chain environment (preferred)
  • Strong proficiency in:
  • Microsoft Excel (data consolidation, basic modeling)
  • Microsoft Word / PowerPoint (formatting and presentation)
  • Demonstrated ability to:
  • Manage multiple deadlines and stakeholders simultaneously
  • Work with high attention to detail in fast-paced environments
  • Strong communication and follow-up skills across cross-functional teams
  • Exposure to large food-service or retail RFPs
  • Familiarity with pricing structures, freight/logistics inputs, and cost drivers
