Logistics Operations Manager

About the Role

The Operations Manager is the operational engine of Hitek Logistics — the right hand to the Director and the day-to-day leader of the ops team. This role bridges strategy and execution: translating the Director's priorities into daily team performance, owning carrier and compliance relationships, running the warehouse, and developing Team Leaders into strong, autonomous operators. This person runs the floor.

Key Responsibilities

1 · Daily Operations Execution

  • Own the daily operations rhythm: team priorities, freight movement, routing.
  • Oversee all transport mode teams — International (air/ocean), Domestic Ground, warehouse and courier.
  • Monitor all active shipments; intervene on exceptions (delays, damages, documentation errors, customs holds)
  • Act as the primary escalation point for Team Leaders on operational issues that exceed their authority
  • Coordinate with Customer Service to ensure client-facing commitments are met and communicated
  • Manage team planning and capacity

2 · People Leadership & Team Development

  • Directly manage Team Leaders (International, Ground, courier and warehouse) and support ops coordinators reporting directly
  • Run structured weekly team meetings; individual 1:1s with Team Leaders
  • Coach Team Leaders on operational execution, KPIs, and people management
  • Identify performance gaps early and address with specific feedback and action plans
  • Participate in hiring decisions and lead onboarding for new ops hires
  • Build a high-accountability team culture — clear expectations, consistent follow-through

3 · Carrier Relations & Rate Management

  • Manage day-to-day relationships with all active carriers across all segments (ground, air, ocean, courier)
  • Negotiate rates on a daily and annual basis; ensure competitive positioning
  • Ensure carrier account compliance in Hitek GO; keep rates and terms current
  • Evaluate carrier performance against contracted SLAs
  • Develop and grow the ground carrier network
  • Participate in and manage courier contracts and rates (Purolator, FedEx, etc.) with ongoing Hitek GO updates

4 · Compliance, Regulatory & Insurance

  • Execute and maintain the carrier compliance program (PIP) — onboarding, monitoring, annual review
  • Oversee Hitek's insurance program: cargo, liability, and operational coverage — manage broker relationship and renewals
  • Monitor and implement regulatory changes affecting transport compliance (Transport Canada, CBSA, US CBP)
  • Ensure all documentation (BOLs, customs docs, PODs) meets regulatory and client-specific requirements
  • Manage the operational claims process — intake, carrier/insurer coordination, resolution, and reporting

5 · Warehouse Operations

  • Manage the warehouse clerk and oversee daily warehouse operations: inbound, outbound, staging, and storage
  • Conduct monthly physical inventory counts; reconcile variances
  • Maintain safety, cleanliness, and compliance standards throughout the warehouse
  • Manage critical inbound or outbound issues that require direct intervention
  • Oversee warehouse equipment maintenance (forklift certification, equipment logs)

6 · KPIs, Reporting & Process Improvement

  • Own the ops KPI dashboard: on-time delivery, billing accuracy, error rates, and team productivity metrics
  • Provide weekly KPI updates and a monthly summary for reporting to the Director of Ops
  • Responsible for maintaining profitability and margin reporting, flagging offbound shipments operationally, and coordinating corrective action
  • Own and maintain all Operations SOPs; drive continuous improvement initiatives
  • Ensure Hitek GO data integrity — all active carriers, rates, shipments, and records are current

7 · Planning, Quoting & Cross-Functional Support

  • Responsible for carrier selection, rate-building, and RFP responses
  • Provide capacity planning inputs for new accounts or volume changes
  • Collaborate with the Finance department on billing accuracy, disputed charges, and carrier cost reconciliation
  • Ensure service standards, escalations, and client expectations are met in collaboration with the Sales department
  • Support the Director on special projects

Qualifications

Required

  • 5+ years of experience in freight forwarding or 3PL operations
  • 2+ years managing a team (direct reports)
  • Hands-on experience with Domestic Ground freight (required)
  • Hands-on experience with International (air/ocean) freight (major asset)
  • Demonstrated carrier management and rate negotiation experience
  • Knowledge of carrier compliance programs: PIP, C-TPAT
  • Experience with claims management and insurance coordination
  • Bilingual: French and English (written and spoken)
  • Proficient with logistics software / TMS; strong Excel skills

Preferred / Asset

  • CIFFA certification or equivalent logistics credential
  • Warehouse management experience
  • Experience with customs documentation and CBSA processes
  • Familiarity with Cargowise, other TMS, or similar platforms
