Full job description

Eterio Realities Inc. (FabStation) | Remote (Canada) | Full-time

About Us

Eterio Realities builds FabStation, an AR-enabled manufacturing execution system used by 250+ fabrication shops in 30+ countries. We replace paper and 2D drawings on the shop floor with AR-guided assembly, dimensional inspection, and production tracking. We are bootstrapped, profitable, and growing, with a team of 30+ based in Victoria, BC.

We are hiring our first dedicated people and operations leader. This is a remote role open to candidates across Canada. It owns the employee lifecycle from job posting to offboarding, and the corporate record-keeping that keeps a growing international software company organized, compliant, and ready for whatever comes next.

The Role

This is a hands-on generalist position that combines HR coordination with corporate document and contract administration. You will be the person who makes sure every hire is properly onboarded, every agreement is signed and filed, every review happens on schedule, and every important document can be found in thirty seconds. You are not expected to be a lawyer or an accountant. You are expected to know when to bring one in.

What You Will Own

People

  • Manage job postings, screen applicants, conduct first-round interviews, and coordinate follow-up interviews with hiring managers
  • Onboard new employees: employment agreements, software licenses, equipment, accounts, and first-week orientation
  • Administer payroll onboarding and benefits enrollment in QuickBooks Online Payroll; payroll processing is owned by Finance
  • Schedule and facilitate 3-month probation reviews and annual performance reviews
  • Run offboarding: departure documentation, exit interviews, and access revocation
  • Maintain company policies in Confluence and train employees on new and updated policies
  • Plan and deliver the annual company retreat
  • Maintain a compliance calendar covering WorkSafeBC, provincial employment standards, and employee privacy requirements

Corporate Operations

  • Maintain compliant employment and contractor agreements across jurisdictions, working with external counsel or EOR providers as needed
  • Manage and organize all signed contracts, NDAs, and legal agreements, coordinating outside legal review where required
  • Administer IP documentation, invention assignment agreements, and access controls; support execution of IP strategy with leadership and external counsel
  • Manage corporate records in OneDrive and maintain due diligence readiness, including a structured data room
  • Keep product Terms and Conditions current and aligned with what we sell, working with legal counsel
  • Lead evaluation and implementation of an HRIS; solutions affecting payroll or accounting systems require Finance approval

Must-Haves

  • 5 to 8 years of experience in an HR generalist, people operations, or office/corporate operations role, ideally in a small or scaling company
  • Direct experience administering employment agreements and coordinating with legal counsel
  • Demonstrated experience managing contracts, NDAs, or corporate documentation with strong attention to access control and version discipline
  • Excellent organizational judgment: you build systems, not piles
  • Proven ability to work independently in a remote role, with strong written communication
  • Discretion. This role handles compensation data, legal agreements, and confidential company information

Nice to Have

  • Bachelor's degree in HR, business administration, or a related field, or equivalent experience
  • Experience supporting international employees or contractors (EOR, classification, cross-border agreements)
  • Exposure to IP administration in a software or technology company
  • HRIS selection or implementation experience
  • CPHR designation or working toward it

Details

  • Location: Remote within Canada; Victoria, BC headquarters. Occasional travel for the annual retreat and key company events
  • Compensation: $85,000 to $95,000 CAD, based on experience
  • Reports to: CEO
