Role Responsibilities

The Clinic Coordinator's responsibilities include, but are not limited to:

  • Ensure facility meets and exceeds standard cleanliness levels
  • Assist with monitoring inventory and placing orders, including medical supplies, office supplies, clinical trials materials, products, and/or spa supplies as needed
  • Maintain strong working knowledge of all products and service offerings
  • Assist with coordinating staff lunch and learn sessions with vendors and products representatives
  • Provide general clinic support to ensure all teams have the resources needed to be successful. Assist with administrative duties such as scanning, scrub orders, Google review responses, Textline messages, and other patient communications
  • Attend regular team meetings
  • Provide day-to-day support to Team Leads
  • Ensure clients are provided with the “U” experience throughout their entire visit to the facility
  • Provide first tier troubleshooting for patient concerns
  • Support and coordinate staff and physician training sessions in partnership with clinic operations manager and corporate trainer
  • Provide general clinic support when Clinic Operations Manager is absent
  • Other duties and administrative support as required.
Role Qualifications

  • Diploma or certificate in Office Administration, Business, or a related field.
  • Minimum of 2–3 years’ experience in an administrative or operations coordination role.
  • Excellent organizational skills with attention to detail in documentation and reporting.
  • Proficient in Microsoft Office Suite and clinic scheduling or management software.
  • Strong written and verbal communication skills for internal team coordination.
  • Ability to manage multiple tasks and deadlines in a fast-paced clinical environment.
  • Commitment to confidentiality and professionalism when handling sensitive information.
