Position Summary
Temporary Full-Time Appendix D Support Staff, replacement contract position (Immediate need – August 30, 2026)
The Admissions Student Support Assistant delivers high-quality frontline service in a fast-paced, student-focused environment, demonstrating professionalism, attention to detail, and strong cross-cultural competency. The incumbent maintains a thorough understanding of college programs, services, policies, and processes, enabling them to respond accurately and efficiently to a wide range of inquiries
Successful candidates will be required to conduct work within Ontario and must be available to work on campus as required. It is anticipated that this position will meet the needs of the department through a hybrid work arrangement, Monday to Friday, 8:30 am to 4:30 pm, with 4 days on-site at the Doon campus, located at 299 Doon Valley Drive, Kitchener, and 1 day remote.
Responsibilities
- Serve as the first point of contact for admissions inquiries via email and virtual chat (Unibuddy), providing clear guidance on application processes, status updates, program availability, registration, deferrals, and fees
- Respond to inquiries from students, parents, agents, faculty, and staff with professionalism, cultural sensitivity, and attention to detail
- Monitor and manage shared inboxes to ensure timely, accurate, and efficient responses to all inquiries
- Prioritize high-volume requests during peak periods and escalate or redirect as appropriate
- Collaborate with Admissions Officers, Assistants, Credential Assessors, and internal departments to provide accurate, up-to-date admissions information
- Maintain current knowledge of admissions policies, procedures, IRCC regulations, and college services to ensure accurate communication
- Support prospective and returning students with International Application Service (OCAS) portal access, including troubleshooting, password resets, and application guidance
- Review student applications, documents, and receipts in the IAS portal and advise on next steps in the admissions process
- Use the Student Information System (SIS) to verify, update, and analyze student records, including permits, contact details, and application data
- Verify tuition fees and payment details for domestic and international students as requested
- Guide discontinued students on return-to-study processes, requirements, and next steps, including referrals to academic advisors or program coordinators
- Apply strong problem-solving skills and sound judgment to resolve student issues and complaints with tact and diplomacy
- Provide general knowledge of college services and direct students to appropriate departments and supports when needed
- Respond to voicemail inquiries promptly through appropriate communication channels
- Support onboarding and training of new admissions email staff in collaboration with the manager
- Contribute to student engagement and retention initiatives, including outreach campaigns
- Provide front desk support for the International Department as required
- Assist the Office Manager, International Education, with additional admissions-related tasks and projects as needed
Qualifications
- Two-year diploma in Office Administration, Business, Communications, Social Science, Education or a related field is required
- Minimum two years of experience in an office or college environment, with a focus on student and client services and working within large database systems is required
- Demonstrated experience supporting newcomers to Canada and individuals from diverse cultural backgrounds, with strong cultural awareness and sensitivity
- Excellent interpersonal, oral, and written communication skills, including active listening and the ability to engage effectively with non-native English speakers
- Strong client service orientation with the ability to problem-solve using tact, diplomacy, discretion, and professionalism
- Proven ability to manage multiple priorities in a fast-paced environment, including working effectively under pressure and handling demanding situations
- Excellent organizational and time management skills with a high level of attention to detail
- Ability to work both independently and collaboratively within a team environment
- Strong proficiency in Microsoft Word, Excel, and experience working with large databases and other computerized systems
- Proactive approach to learning, with strong research skills and the ability to stay current with evolving policies and procedures
- Demonstrated compassion, patience, and sound judgment, with the ability to apply flexibility appropriately when supporting students
