On-Site Property ManagerJob Description

We are seeking a highly organized, proactive, and detail-oriented On-Site Property Manager to oversee the day-to-day operations of our residential portfolio. This role includes managing renovations, turnovers, tenant relations, lease renewals, rental increases, and overall property operations to ensure a high standard of service and efficiency.

The ideal candidate is solution-driven, capable of managing multiple projects simultaneously, and thrives in a fast-paced environment.

Key Responsibilities1. Renovation & Maintenance Management

  • Plan, coordinate, and oversee unit and building renovation projects.
  • Schedule and supervise contractors, suppliers, maintenance staff, cleaners, and janitors.
  • Ensure projects are completed on time, within budget, and according to company standards.
  • Open, track, and close work orders efficiently.
  • Conduct final inspections prior to unit delivery.
  • Respond to maintenance emergencies as required.

2. Turnovers & Unit Readiness

  • Manage unit turnovers, including cleaning, repairs, painting, and staging.
  • Ensure units are fully prepared and move-in ready.
  • Coordinate closely with leasing and maintenance teams to minimize vacancy periods.
  • Follow up on outstanding items to ensure timely completion.

3. Move-In & Move-Out Coordination

  • Schedule and oversee tenant move-ins and move-outs.
  • Perform detailed inspections and document unit conditions using photos and checklists.
  • Identify and address damages promptly.
  • Coordinate security deposit claims and follow internal procedures.

4. Tenant & Client Communication

  • Provide clear and timely updates to tenants regarding unit readiness and ongoing work.
  • Manage rental increases, lease renewals, and related negotiations.
  • Assist with rent collection follow-ups and notices when required.
  • Communicate regularly with property owners and clients regarding unit status, renovations, and projects.
  • Handle tenant concerns and emergency situations professionally.

5. Scheduling & Project Management

  • Maintain and manage a master calendar for turnovers, renovations, inspections, and move-ins.
  • Prioritize multiple units and deadlines to avoid delays.
  • Adjust schedules proactively to ensure project timelines are met.

6. Quality Control & Compliance

  • Ensure all units comply with safety standards, municipal regulations, and building codes.
  • Coordinate and conduct fire inspections with external companies.
  • Perform monthly property inspections and complete required task lists.
  • Conduct final walkthroughs before occupancy.
  • Coordinate inspections with city officials and external professionals as required.

7. Internal Collaboration & Systems

  • Work closely with leasing, maintenance, cleaning, and accounting teams.
  • Update CRM and property management systems with accurate notes and statuses.
  • Ensure smooth communication and coordination between all departments.

Qualifications

  • Experience in property management, real estate, construction coordination, or a related field.
  • Strong organizational and multitasking skills.
  • Excellent communication and problem-solving abilities.
  • Ability to manage contractors and multiple projects simultaneously.
  • Knowledge of Quebec rental regulations is an asset.
  • Experience with property management software or CRM systems is an asset.
  • Must be fully bilingual (English and French).
  • Valid driver's license and access to a vehicle preferred.
