Full job description

The Concierge, Work Refined creates an outstanding Member experience through exceptional service; establishes and maintains a safe and clean environment that encourages our Members to return. The Concierge ensures that all Members are warmly welcomed, anticipates and addresses needs, provides general administrative support and actively contributes to the smooth operation of the business and goes above and beyond to exceed the expectations of our Members. The Concierge is also a key point of contact for prospective Members, and will work with the Manager, Work Refined, to ensure that an elevated Member experience is consistently delivered through every interaction with the Work Refined Team.

Responsibilities:

Member Experience

  • Occupies the Concierge desk during business hours, acknowledging and directing incoming and outgoing telephone calls and traffic and responding to general inquiries.
  • Greets Members and visitors and provides direction, support, and guidance as necessary.
  • Registers prospective Members, gathers information and distributes promotional materials.
  • Schedules and confirms tours and appointments. Assists Manager in follow-up activities including thank you notes, answering of subsequent questions, and creation of Membership proposal.
  • Provides assistance to Members with in-office catering needs, boardroom bookings, printing, copying and full-service document finishing services.
  • Handles all incoming and outgoing mail and packages, notifying Members of receipt and delivery of packages.
  • Handles administration of Member accounts, initiates billing, oversees collections and other account details. Keeps Manager informed of concerns and potential issues as they evolve to help.
  • Promotes all other DYMON brands and ancillary services when creating tailor-made solutions for Work refined Members as well as stand-alone solutions to meet their needs.

Community Awareness and Engagement

  • Assists with the coordination of events and community initiatives, including the newsletter.
  • Develops acute awareness of Members’ various industries and roles, ever looking for opportunities to assist Manager in building community and connecting Members.
  • Escalates Member issues and conflicts to the Manager, Work Refined.
  • Assists with marketing initiatives and coordinating community outreach events to create awareness of Work Refined by DYMON.
  • Assists community Manager with engagement events and activities including but not limited to Surprise and Delights, seasonal lunches, networking events and celebrations.

Work Refined Operations

  • Coordinates Member move-ins and move-outs; prepares welcome packages.
  • Maintains common areas in a clutter-free and clean manner, including loading and emptying of dishwasher and regular washroom checks.
  • Restocks food and beverage stations maintaining par levels, adjusting as required.
  • Completes purchase orders for supplies and work orders for repairs and maintenance at the direction of the Manager; maintains a directory of approved contractors.
  • Maintains all records, schedules and a calendar relating to the accommodations.

Qualifications:

  • 2-5 years’ experience working in a busy office, business or hospitality environment.
  • Experience in a Concierge role within an elevated hotel or retail environment a plus.
  • College diploma in business related program or equivalent work experience.
  • Warm and pleasant attitude; genuinely enjoys taking care of others in a professional environment and building meaningful relationships
  • Eager and enthusiastic with an eye for detail, a proactive approach and strengths in problem resolution.
  • Ability to multi-task and prioritize multiple assignments.
  • Excellent organization, time management and customer service skills
  • Proficient in Microsoft Office Suite
