Position Summary

We are looking for a sharp and reliable Regulatory Affairs Assistant who will support regulatory compliance activities for a diverse portfolio of food products marketed in Canada and the United States. This role is responsible for assisting with new product specification development, label compliance, ingredient and packaging reviews, customer regulatory requests, and ensuring products meet applicable regulatory requirements for retail, foodservice, and private label customers.

The position works closely with Regulatory Affairs, Quality Assurance, Research & Development, Purchasing, Operations and Sales teams to support the commercialization and ongoing compliance of multiple product categories, including pizzas, cakes, cookies, and other bakery items.

Reports to: QA Manager

Position: Full time (3-month probation period)

Job Description (includes the following, but is not limited to those listed):

  • Assist in ensuring compliance with federal, provincial/state including Canadian Food Inspection Agency (CFIA), Health Canada, U.S. Food and Drug Administration (FDA) and United States Department of Agriculture (USDA) and customer food regulatory requirements.
  • Maintain knowledge of current food regulations, labeling requirements, and industry standards.
  • Assist in creating, updating, and maintaining product specifications and other production related documents such as production planners and SOPs.
  • Support artwork and packaging approval processes.
  • Review product labels for compliance with applicable regulations, including ingredient declarations, allergen statements, nutrition facts tables, and claims.
  • Support regulatory reviews for new and existing products.
  • Verify ingredient and packaging information for regulatory accuracy.
  • Organize and update ingredient specifications, approved supplier program and regulatory documentation, and certificates. Ensure documentation is accurate, current, and readily accessible.
  • Respond to customer regulatory questionnaires and information requests. Maintain and handle customer portals.
  • Collaborate with Research & Development, Quality Assurance, Purchasing, and Operations teams during new product development projects.
  • Review ingredients and formulations for regulatory compliance.
  • Perform administrative tasks, including word processing, document editing, presentation creation, filing, and managing various internal documentation requests.
  • Assist the QA Manager during third-party and internal audits.
  • Manage multiple projects simultaneously, prioritizing tasks and meeting deadlines.
  • Any other food safety and quality control document related job assigned by QA Manager

Job Requirements:

  • 1–3 years of experience in Food Regulatory Affairs, Quality Assurance, Food Safety, Product Development, or Food Manufacturing preferred.
  • Experience with retail meat products and bakery products is considered an asset.
  • Knowledge & experience with CFIA, FDA and USDA regulations.
  • Strive in a fast-paced environment, ability to work with other staff and management
  • Strong attention to detail and accuracy.
  • Excellent organizational and record-keeping skills
  • Demonstrate effective time management skills.
  • Strong written and verbal communication skills.
  • Computer skills and proficient with Microsoft Office
