About the Clinic

White Oaks Medical Clinic is a new family medicine practice opening soon in south London, Ontario, co-located with White Oaks Guardian Pharmacy at 1074 Dearness Drive. We are a small, patient-focused clinic committed to delivering comprehensive primary care in a welcoming, professional environment.

We are hiring two (2) Medical Receptionists to join our team as we open our doors. This is a meaningful opportunity to help build a new clinic from the ground up and grow with the practice.

Starting:

Immediately if possible.

Position Summary

The Medical Receptionist is the first point of contact for our patients and the central anchor of the front desk. You will play a key role in creating a positive patient experience and in maintaining the smooth day-to-day operation of the clinic.

Schedule & Compensation

  • 20 to 40 hours per week, scheduled in coordination with the clinic manager
  • Hourly rate: $20.00 – $25.00, based on experience
  • Start date: As soon as possible

Key Responsibilities

  • Greet and welcome patients in a warm, friendly, and professional manner
  • Book, confirm, reschedule, and follow up on patient appointments
  • Manage a multi-line phone system and respond to patient inquiries
  • Send appointment reminders and follow-up communications via phone and email
  • Manage incoming and outgoing faxes (referrals, requisitions, reports, consults)
  • Maintain accurate and up-to-date patient information in the EMR
  • Coordinate with referring physicians, specialists, labs, and pharmacies
  • Keep the reception area clean, organized, and welcoming
  • Support general front-office administrative duties as required

What We're Looking For

Required:

  • 1+ year of experience in medical or clinical reception/administrative role
  • Strong customer service skills and a friendly, professional demeanor
  • Excellent verbal and written English communication
  • Strong organizational skills and attention to detail
  • Comfort with technology — EMR, email, and fax

Preferred:

  • 2+ years of experience in a medical or clinical reception/administrative role
  • Experience with Avaros, OSCAR, OSCAR Pro, or another OSCAR-based EMR
  • Experience with eFax and digital referral workflows
