Position Summary

We are seeking a motivated, energetic, and organized Medical Office Administrator to join our dynamic team. The ideal candidate thrives in a fast-paced clinic environment, excels in communication, and demonstrates genuine care for patients and colleagues alike.

This position is ideal for individuals looking to make a meaningful impact in healthcare while contributing to a supportive, academic medical setting.

Key Responsibilities

As a front-line representative of our clinic, you will play a vital role in ensuring smooth patient flow and operational efficiency. Responsibilities include, but are not limited to:

  • Greeting and assisting patients in person and over the phone with professionalism and empathy.
  • Booking, confirming, and rescheduling appointments using our electronic medical record (EMR) system.
  • Managing incoming and outgoing faxes, scanning documents, and maintaining accurate patient records.
  • Coordinating referrals, specialist appointments, and diagnostic tests.
  • Supporting patient flow and clinic efficiency throughout the day.
  • Handling confidential information in accordance with PHIPA regulations.
  • Communicating effectively with physicians, nurses, residents, and other team members.
  • Performing general administrative tasks such as data entry, filing, and mail handling.
  • Assisting in special projects and process improvements as needed.

Qualifications

  • Previous experience in a medical or clinical environment (not mandatory).
  • Experience using EMR (an asset).
  • Strong computer literacy (Microsoft Office, Outlook, and general digital tools).
  • Excellent verbal and written communication skills.
  • Strong organizational skills and attention to detail.
  • Ability to multitask effectively in a fast-paced, team-oriented environment.
  • Commitment to patient privacy, professionalism, and compassion.
