Job Summary

We are seeking a highly organized and professional Medical Office Administrator to oversee the daily operations of our healthcare facility. The ideal candidate will be responsible for managing administrative tasks, coordinating patient services, and supporting medical staff to ensure efficient clinic functioning. This role requires excellent communication skills, familiarity with medical and dental office procedures, and experience in handling electronic medical records. The Medical Office Administrator will play a vital role in maintaining a smooth workflow within our healthcare environment, ensuring compliance with healthcare regulations, and delivering exceptional patient care support.

Responsibilities

  • Manage front desk operations including patient check-in/check-out, appointment scheduling, and patient inquiries.
  • Maintain accurate and up-to-date electronic medical records using systems such as Dentrix and other EMR platforms.
  • Assist with billing, coding, and insurance claim processing to ensure timely reimbursements.
  • Support human resources functions such as staff scheduling, onboarding new employees, and supervising administrative staff.
  • Coordinate communication between patients, medical providers, and external vendors or insurance companies.
  • Ensure compliance with healthcare regulations, privacy laws (HIPAA), and office policies.
  • Oversee inventory management of medical supplies and office materials.
  • Handle budgeting tasks related to office expenses and resource allocation.
  • Support clinical staff with administrative duties related to nursing, acute care, or hospital experience as needed.
  • Supervise administrative team members to promote a productive work environment.

Qualifications

  • Proven experience in a medical or dental office setting; hospital or acute care experience is a plus.
  • Familiarity with Dentrix or similar electronic medical records systems.
  • Knowledge of medical terminology and healthcare procedures.
  • Previous supervisory or human resources experience is preferred.
  • Strong organizational skills with the ability to multitask efficiently in a fast-paced environment.
  • Excellent communication skills for interacting with patients, staff, and external partners.
  • Ability to handle sensitive information discreetly and maintain confidentiality in accordance with HIPAA regulations.
  • Experience in budgeting and managing office supplies or resources effectively.
