Office Manager – Westside Chiropractic

Location: Calgary, AB

Position: Office Manager

Experience Required: Minimum 2 years of relevant experience

We are looking for an experienced, organized, and personable Office Manager to join our busy chiropractic clinic. This is an important leadership role within the clinic, responsible for supporting the day-to-day operations of the front desk, maintaining an excellent patient experience, and helping ensure the clinic runs smoothly and efficiently.

The ideal candidate is confident, dependable, detail-oriented, and comfortable working in a fast-paced healthcare environment. You should be able to balance administrative responsibilities, patient care, staff coordination, and problem-solving while maintaining a professional and welcoming atmosphere.

Responsibilities

-Oversee the daily operations of the clinic and front desk

-Manage patient scheduling, appointment changes, cancellations, and clinic flow

-Provide excellent customer service to patients in person, by phone, and by email

-Support and oversee front desk/reception staff

-Assist with staff scheduling, coverage, training, and day-to-day communication

-Process payments, issue receipts, and maintain accurate patient accounts

-Manage direct billing and insurance submissions

-Communicate with insurance companies, adjusters, lawyers, and other healthcare providers when required

-Assist with MVA and insurance-related documentation and administrative processes

-Maintain accurate patient records and ensure appropriate documentation is completed

-Monitor outstanding accounts and follow up when necessary

-Assist with payroll preparation and administrative reporting

-Manage clinic supplies, inventory, and ordering

-Help maintain clinic policies, procedures, and administrative systems

-Handle patient concerns professionally and appropriately

-Support chiropractors, and massage therapists, with administrative needs

-Identify areas where clinic operations can be improved and help implement solutions

-Maintain patient confidentiality and a high level of professionalism at all times

Qualifications

Minimum 2 years of office management, clinic administration, medical reception, or similar relevant experience is required

Previous experience in a chiropractic, physiotherapy, massage therapy, rehabilitation, medical, dental, or other healthcare clinic is strongly preferred

-Previous experience supervising or leading administrative/front desk staff is an asset

-Strong organizational and time-management skills

-Excellent written and verbal communication skills

-Strong attention to detail and ability to prioritize multiple responsibilities

-Comfortable handling difficult conversations and resolving patient or staff concerns professionally

-Experience with direct billing and extended health insurance is an asset

-Experience with MVA claims and Alberta insurance processes is an asset

-Experience using Jane App or similar clinic management software is an asset

-Strong computer skills, including email, Microsoft Office, and general administrative software

-Reliable, proactive, and able to work independently

-Professional, approachable, and team-oriented
