Overview

Mazda of Toronto, Ontario’s #1 Volume Mazda Dealer, is looking for a reliable and detail-oriented Licensing and Administrative Assistant to join our growing team. This is an excellent opportunity to be part of a fast-paced dealership where your contribution will help drive smooth operations and customer satisfaction.

The Licensing and Administrative Associate will play a key role in supporting day-to-day dealership operations, ensuring all vehicle licensing, registration, and administrative processes are completed accurately and efficiently. The ideal candidate has strong attention to detail, excellent communication skills.
Key Responsibilities:

  • Process all vehicle licensing, transfers, and registration paperwork in compliance with Ontario laws and regulations
  • Ensure accuracy in documentation and timely submission to appropriate government agencies
  • Communicate with sales, finance, and service departments to ensure a seamless customer experience
  • Maintain organized filing systems (physical and digital) for customer and vehicle records
  • Provide general administrative support to the sales and management teams
  • Assist with inventory management and reporting as needed
  • Support front-desk reception duties when required

Qualifications:

  • High school diploma or equivalent; post-secondary education in business administration or a related field is an asset
  • Previous experience in an automotive dealership environment is preferred
  • OMVIC certification is preferred (or willingness to obtain)
  • Strong computer skills
  • Excellent attention to detail and organizational skills
  • Strong verbal and written communication skills
  • Ability to multitask and prioritize in a fast-paced environment
  • Friendly, professional demeanor and a team-oriented mindset
