About the Opportunity

Erritt Construction Ltd. is a growing heavy civil contractor specializing in underground infrastructure, tunnelling and microtunnelling projects.

We are looking for an organized, commercially minded Contract Claims Coordinator to join our Vaughan team.

This role will support the management of contractual notices, change orders, claims, extensions of time and other commercial matters across our construction projects.

The successful candidate will work closely with project managers, senior management and field teams to ensure contractual issues are identified early, notices are submitted within required timelines, supporting documentation is collected and claims are properly tracked through to resolution.

We are particularly interested in someone with construction contract administration experience and some exposure to claims, changes or contractual correspondence.

What You'll Do

Your responsibilities will include:

  • Review construction contracts, specifications and supplementary conditions to identify contractual requirements and notice provisions.
  • Prepare and issue contractual notices relating to:
  • Changes in the Work
  • Differing site conditions
  • Delays and extensions of time
  • Owner-caused impacts
  • Design changes
  • Access restrictions
  • Additional work
  • Disruptions and productivity impacts
  • Ensure contractual notices are submitted within required timelines.
  • Maintain a detailed claims, changes and contractual notice register for all active projects.
  • Track outstanding change orders, claims, notices and contractual decisions.
  • Prepare draft claim submissions and supporting correspondence.
  • Assist in developing detailed claim narratives and chronology of events.
  • Gather supporting documentation from project teams, including:
  • Daily reports
  • Labour and equipment records
  • Subcontractor costs
  • Photographs
  • Emails and correspondence
  • Schedules
  • RFIs
  • Site instructions
  • Change directives
  • Organize supporting documentation into clear and comprehensive claim files.
  • Review project records to identify potential contractual entitlement.
  • Assist with preparation of delay and extension-of-time submissions.
  • Track contractual response periods and follow up on overdue decisions.
  • Coordinate with project managers to ensure potential claims and changes are identified early.
  • Review owner, consultant and subcontractor correspondence and identify contractual or commercial issues requiring action.
  • Assist with change order negotiations and commercial documentation.
  • Maintain organized electronic records for each claim and change.
  • Support senior management in preparing responses to disputed claims and contractual positions.
  • Assist with preparation of documentation for mediation, adjudication, arbitration or other dispute resolution processes when required.

What We're Looking For

The successful candidate will be someone who is exceptionally organized, detail-oriented and comfortable working with construction contracts and written correspondence.

You should be:

  • Strong at reading and interpreting construction contracts.
  • Highly organized and able to manage multiple deadlines.
  • An excellent written communicator.
  • Detail-oriented, particularly with dates, notice requirements and supporting documentation.
  • Comfortable drafting professional contractual correspondence.
  • Able to identify important contractual issues within large volumes of information.
  • Persistent in following up with project teams for required documentation.
  • Comfortable working directly with project managers and senior management.
  • Commercially minded and interested in understanding contractual entitlement.
  • Able to maintain clear and accurate records across multiple active projects.

Experience & Qualifications

  • Approximately 2–4 years of construction contract administration, project coordination, commercial management or related experience preferred.
  • Previous experience working with construction contracts, change orders, contractual notices or claims is strongly preferred.
  • Heavy civil, infrastructure, municipal, sewer and watermain or underground construction experience is an asset.
  • Experience preparing or supporting construction claims is an asset.
  • Experience reviewing contract documents and identifying notice requirements is preferred.
  • Strong written and verbal communication skills.
  • Strong Microsoft Word, Excel and Outlook skills.
  • Experience with project document management systems is an asset.
  • Degree or diploma in Construction Management, Civil Engineering, Engineering Technology, Quantity Surveying, Business or a related discipline is preferred.
  • Equivalent practical construction experience will also be considered.

We do not require candidates to already be experts in construction claims. We are interested in candidates who have a strong understanding of construction contracts and contract administration and who want to further develop their commercial and claims experience.
