Rental Property Administrator (Calgary Head Office)

City Vibe Developments, a leader in low-rise condominium development and luxury rental apartments, is seeking a customer-focused Rental Property Administrator to support our leasing operations. This full-time, permanent role is ideal for individuals who thrive in fast-paced environments and are passionate about delivering exceptional service and driving occupancy success.

We’re looking for someone who’s not just organized and detail-oriented—but also understands the importance of creating positive tenant experiences and supporting revenue growth through efficient lease administration.

Key Responsibilities:

  • Review rental applications and assist in creating leasing documents that reflect our company’s standards.
  • Ensure lease agreements and monthly Pre-Authorized Debits (PADs) are accurate and aligned with actual rent payments.
  • Enter deposits and securities, record NSF transactions, and generate statements of account post-move-out.
  • Proactively process lease renewals within company policy windows to support tenant retention and minimize vacancy.
  • Liaise with the Leasing Team to resolve account inquiries and streamline tenant communications.
  • Monitor terminated leases, ensure timely inspections, and manage security deposit returns to maintain trust and compliance.
  • Assist with notices and site postings to support leasing efforts and property visibility.

Qualifications:

  • A proactive mindset with strong multitasking and prioritization skills.
  • Excellent communication abilities to engage with tenants and internal teams.
  • Familiarity with the Residential Tenancy Act and Condominium Board operations (an asset).
  • Proficiency in Microsoft Office and a willingness to learn internal systems.
