We are seeking an exceptional and highly skilled professional to join our Executive Office team as the Executive Assistant to the Mayor.
Working 35 hours per week, Monday to Friday, and reporting to the Administrative Manager, Executive Office, the successful candidate will play a pivotal role in supporting the Mayor and contributing to the effective operations of the Executive Office. This opportunity comes at a unique time in Abbotsford's municipal cycle, with preparations underway for the upcoming municipal election. As a key member of the Executive Office team, you will play a strong role in supporting governance activities and strategic initiatives that help shape the future of our organization and community.
In this highly visible and trusted role, you will provide comprehensive confidential executive-level administrative support to the Mayor, as well as working closely with members of Abbotsford City Council, the Executive Office team and, as required, provide backup support to the City Manager's Office and the General Manager of Innovation, Strategy and Intergovernmental Relations. You will manage complex calendars and schedules, coordinate meetings and events, prepare correspondence and briefing materials, liaise with elected officials, community leaders, government representatives and stakeholders, and ensure the seamless flow of information within a fast-paced executive environment.
The successful candidate will possess exceptional judgment, discretion, professionalism, and attention to detail, along with the ability to anticipate needs, manage competing priorities, and maintain confidentiality while supporting sensitive and high-profile matters.
This assignment is ideal for someone who:

- Demonstrates exceptional time management, organizational, interpersonal, and communication skills;
- Is proactive, resourceful, and able to anticipate and respond to emerging priorities;
- Takes pride in delivering outstanding executive-level support and customer service;
- Exercises sound judgment, professionalism, and discretion when handling confidential information;
- Enjoys building positive relationships with a diverse range of internal and external stakeholders; and
- Is eager to broaden their knowledge of municipal government, governance, and civic leadership.
The successful candidate will possess:
- A Diploma in Office Administration, Business Administration, Public Administration, or a related field (Local Government education and experience is an asset)
- A minimum of five (5) years of progressively responsible administrative experience, preferably supporting senior executives, elected officials, or executive leadership teams;
- Advanced proficiency in Microsoft Office applications, including Outlook, Word, Excel, PowerPoint, and Teams;
- Demonstrated experience managing complex schedules, coordinating multiple priorities, and supporting senior decision-makers;
- Exceptional written and verbal communication skills; and
- The ability to exercise tact, diplomacy, discretion, and sound judgment in a confidential environment.
