Full job description

We are looking for a reliable, organized, and detail-oriented Assistant Bookkeeper / Administrative Assistant to join our growing team. This is a part-time, on-site position with the opportunity to move into full-time for the right person.

The ideal candidate is responsible, professional, eager to learn, and comfortable supporting both bookkeeping and general office administration. This role is perfect for someone who enjoys working with numbers, staying organized, helping a team run smoothly, and taking ownership of daily tasks.

Key Responsibilities

  • Assist with accounts payable and accounts receivable
  • Enter invoices, receipts, bills, and payments accurately
  • Reconcile bank and credit card transactions
  • Help prepare customer statements and follow up on outstanding balances
  • Maintain organized financial records and filing systems
  • Assist with payroll preparation and employee records when required
  • Support month-end bookkeeping tasks
  • Communicate with customers, suppliers, and internal staff in a professional manner
  • Answer phones, respond to emails, and direct inquiries
  • Prepare documents, reports, spreadsheets, and correspondence
  • Assist with scheduling, ordering office supplies, and general office organization
  • Support management with administrative tasks as needed
  • Help maintain accurate records for projects, purchases, expenses, and vendor accounts
  • Perform other duties as required to support the office and accounting department

Qualifications

  • Minimum 5 years of accounting/bookkeeping experience with administrative experience
  • Knowledge of QuickBooks or similar accounting software is preferred
  • Strong attention to detail and accuracy
  • Excellent communication and organizational skills
  • Ability to multitask and prioritize effectively
  • Comfortable working independently and as part of a team
  • Professional, trustworthy, and dependable
  • Willingness to learn and grow with the company

Position Details

  • Part-time to start, with the opportunity to grow into a full-time position
