Full job description

We are a leading international Hair Replacement Company with 7 locations across the Greater Toronto Area, 2 in Florida, 1 in El Salvador, 1 in Colombia, 1 in China, and a warehouse in the Netherlands. We specialize in men’s hairpieces, women’s wigs, hair extensions, and hair accessories, serving both local retail clients and customers worldwide.

The Company is seeking a highly qualified Executive Assistant with strong project management skills to support the CEO in a fast-paced, multi-location environment.

Key Responsibilities:

  • Project Management Support: Lead and coordinate strategic projects and initiatives across our global locations, including research, data collection, report preparation, and cross-functional collaboration to ensure timely and high-quality results.
  • Schedule Management: Organize and maintain the CEO's calendar, schedule meetings, appointments, and events, and provide proactive reminders to optimize time management.
  • Travel Coordination: Arrange travel including flights, hotels, transportation, and detailed itineraries for domestic and international trips, sometimes involving weekends (Canada ↔ US).
  • Communication: Manage incoming calls, emails, and correspondence; respond on behalf of the CEO when appropriate; maintain effective communication with internal teams and external stakeholders across multiple countries.
  • Meeting Support: Prepare agendas, presentations, and reports; ensure meeting rooms are properly set up and materials are ready.
  • Confidentiality: Handle sensitive information and documents with the utmost discretion.
  • Relationship Management: Build and maintain strong relationships with key stakeholders across all company locations on behalf of the CEO.
  • Administrative Support: Oversee expense reports, filing systems, records management, and office supplies procurement and organization.
  • Additional Duties: Perform other tasks as requested by the CEO to enhance operational efficiency and executive effectiveness.

Requirements:

  • Education: Bachelor’s degree in a relevant field.
  • Driver’s License: Valid US or Canadian driver’s license.
  • Language Proficiency: Fluent in English and Mandarin.
  • Experience: Minimum of 1 year in a similar role with proven project management capabilities, ideally in a multi-location or international organization.
  • Schedule: Monday – Friday, 9:30 AM – 5:30 PM.

Ideal Candidate:
Highly organized, proactive, and capable of managing multiple projects across international locations. Strong problem-solving, communication, and coordination skills are essential, along with the ability to work independently and maintain confidentiality.

Pay: $25.00-$28.00 per hour
