Role Overview
We are seeking an organized, proactive, and detail-oriented Office Operations Assistant to support our day-to-day workplace operations. This role is ideal for a current student (part-time or co-op) or recent graduate looking to build hands-on experience in administration, workplace operations, and general business practices within a dynamic environment.
Key Responsibilities
Facility & Supply Management

Maintain a clean, organized, and welcoming office environment and common storage areas.

Monitor inventory levels, restock supplies across office and kitchen areas, and place timely reorders.

Research vendors, gather quotes, and assist with cost-effective procurement of office supplies and services.

Coordinate routine maintenance requests and service calls with building management and external vendors.
Administrative & Front Desk Support

Greet visitors, manage guest check-ins, and direct incoming phone, email, and front-desk inquiries.

Receive, sort, and distribute incoming mail, packages, and courier deliveries.
-
Perform routine data entry, document scanning, filing, and digital record organization.

Run occasional local operational errands as needed (e.g., picking up supplies, postal runs).
Meetings, Events & Logistics
-
Prepare meeting rooms, ensure AV equipment is functional, and arrange catering for internal/external meetings.
-
Manage daily office snacks, team lunches, and beverage inventory.
-
Assist in planning, setting up, executing, and cleaning up after company events and team celebrations.
Team & Onboarding Support
-
Assist with new employee onboarding by preparing physical workstations, assigning access badges, and assembling welcome kits.

Support various departments with ad-hoc operational tasks and special administrative projects as assigned.
Qualifications & Requirements

Education: Currently pursuing or recently completed a degree or diploma in Business Administration, Communications, Hospitality, Office Administration, or a related field.

Proactive Mindset: Highly organized, detail-oriented, and able to take initiative on tasks without constant supervision.

Communication Skills: Excellent written and verbal communication skills with a customer-service-oriented attitude.

Tech Proficiency: Familiarity with basic office software (e.g., Google Workspace, Slack, Zoom).

Adaptability: Strong ability to prioritize tasks, multitask, and problem-solve in a changing environment.

Physical & Logistical: Ability to lift up to 25 lbs (for supply deliveries) and reliability for local operational errands.
- Practical Experience: Hands-on experience in workplace operations and general business administration.
- Downtown Toronto Office: Work in the heart of the city.
