Dental Patient Care Coordinator

Role Hours: Monday 7:30 a.m. – 1:30 p.m., Tuesday 8:00 a.m. – 5:00 p.m., Wednesday 7:30 a.m. – 5:00 p.m., Thursday 1:30 p.m. – 7:30 p.m., Friday 8:00 a.m. – 5:00 p.m., and one Saturday per month from 9:00 a.m. – 1:00 p.m.

We are seeking a compassionate, organized, and service-oriented Dental Patient Care Coordinator to join our team. This is an exciting opportunity to become part of a friendly, supportive, and growing dental office.
As the first point of contact for our patients, you will play a key role in delivering an outstanding patient experience while supporting the administrative operations of the practice. The ideal candidate has excellent communication skills, strong attention to detail, and familiarity with dental terminology and office procedures.

This role offers an exciting growth pathway into a Treatment Coordinator position. The successful candidate will be cross trained across both Patient Care Coordinator and Treatment Coordinator responsibilities, creating an opportunity to expand clinical coordination and patient case presentation skills while growing within the practice.
Key Responsibilities
- Greet patients warmly upon arrival and assist with check-in procedures.
- Manage inbound/outbound calls: schedule appointments, answer inquiries, and support patient needs.
- Maintain accurate patient records using Live DDM.
- Process patient information, insurance details, and claims according to office policies.
- Coordinate with the clinical team to ensure smooth and efficient patient flow.
- Support treatment plan coordination and financial discussions, when required.
- Complete administrative duties including filing, data entry, email correspondence, and document preparation.
- Maintain a clean, organized, and professional front desk and reception area.
- Assist with monitoring and ordering office supplies.
- This role will include a combination of front desk and Treatment Coordinator responsibilities, with approximately three days focused on Patient Care Coordinator/front desk duties and two days dedicated to Treatment Coordinator responsibilities and growth development.
Qualifications
- Minimum 1 year of dental or medical administration experience (dental preferred).
- Strong knowledge of dental terminology and office procedures.
- Excellent verbal, written, and interpersonal communication skills.
- Experience with Live DDM is an asset.
- Ability to multitask effectively while maintaining accuracy and attention to detail.
- Professional presentation, positive attitude, and patient-centered mindset.
- Ability to work collaboratively in a busy, team-oriented clinical environment.
