Job Overview

The Live-In Caretaker at our Luminary project is responsible for the day-to-day care, presentation, safety and operational readiness of the residential building. This role serves as the on-site representative for building-related matters and helps ensure that common areas, building systems, resident services, move-ins/move-outs, contractors, supplies, records and recurring maintenance activities are managed in a timely, organized and professional manner.

The successful candidate will maintain a visible and reliable on-site presence, respond appropriately to urgent building matters, coordinate with management, and service providers, and help uphold building standards, policies, procedures and resident expectations. This position requires a hands-on, service-oriented individual who can balance routing cleaning and maintenance oversight with administrative accuracy, contractor coordination, tenant communication, and emergency response responsibilities.

As a Live-In position, the Building Caretaker is expected to exercise sound judgement, discretion, and professionalism while residing on-site. The role requires clear boundaries, strong communication, careful recordkeeping and the ability to escalate matters for management when required.

Core Duties and Responsibilities

Building Operations & Site Care

  • Maintain a clean, safe, orderly, and well-presented building environment, including common areas, exterior walkways, entrances, parkade areas, storage areas, garbage and recycling areas, amenity spaces, and other shared building facilities.
  • Complete daily, weekly, monthly, seasonal, and as-required building tasks in accordance with established building standards, maintenance schedules, and management direction.
  • Inspect common areas and building facilities regularly to identify cleaning, maintenance, repair, security, safety, or operational concerns.
  • Replace burnt-out light bulbs, remove litter and debris, monitor exterior areas, and ensure garbage, recycling, and compost areas remain clean and organized.
  • Inspect vacant units as required and maintain a log of findings.
  • Support snow and ice management by shovelling, applying appropriate de-icing products, coordinating with contractors where applicable, and maintaining required snow and de-icing logs.
  • Monitor seasonal building requirements, including winterization of hose bibs and exterior lighting adjustments.

Maintenance Coordination & Building Systems

  • Maintain a recurring maintenance calendar and assist management in ensuring preventative maintenance activities are scheduled and completed.
  • Monitor building equipment and systems, including sump pumps, circulating pumps, security gates, air intake filters, generator testing, fire alarm testing, and elevator emergency communication devices.
  • Identify maintenance issues, equipment failures, deficiencies, or hazards and report them to management in a timely manner.
  • Coordinate with contractors, utility providers, maintenance providers, janitorial staff, and other service providers as directed by management.
  • Provide site access to contractors and service providers when required.
  • Monitor contractor activity to confirm work areas are left clean, safe, and orderly, and report concerns or incomplete work to management.
  • Order, receive, organize, and store supplies as directed, noting any discrepancies or shortages on delivery documentation.

Resident, Tenant & Guest Support

  • Act as an on-site point of contact for building-related matters while maintaining appropriate professional boundaries and escalating matters to management when required.
  • Assist with building notices, bulletins, updates, and other resident communications as directed by management.
  • Support move-in and move-out activity, including elevator coordination, common area inspections, damage identification, and completion of required inspection documentation.
  • Conduct move-in and move-out unit inspections as required and ensure all reports are completed accurately and in full.
  • Support parking, guest parking, loading areas, visitor passes, unauthorized parking concerns, and storage area monitoring in accordance with building policies and management direction.
  • Refer service requests, parking and storage questions, media inquiries, government inquiries, personal information requests, and non-emergency matters to management as required.

Administration, Records & Reporting

  • Maintain accurate daily logs of building activity, incidents, contractor visits, deliveries, disturbances, equipment failures, rule violations, and resident or tenant interactions requiring documentation.
  • Prepare and maintain records related to tenant matters, particularly where interactions may require future reference or escalation.
  • Maintain inventory records for building tools, supplies, equipment, access devices, and other owner-provided property.
  • Maintain registers and records for parking stalls, storage lockers, key fobs, access devices, common area keys, laundry cards, recreation room bookings, and enterphone updates.
  • Maintain petty cash records, receipts, and monthly petty cash reporting where applicable.
  • Promptly provide management with fees, monies, or other amounts collected on behalf of the owner.
  • Attend periodic meetings with management to review building operations, outstanding issues, priorities, and performance of duties.

Safety, Security & Emergency Response

  • Maintain awareness of building safety procedures, emergency protocols, and applicable building rules, policies, and procedures.
  • Contact appropriate emergency service providers when urgent assistance is required.
  • Respond appropriately to emergency building matters and take reasonable action to protect residents, tenants, property, and building assets.
  • Where management cannot be reached in an emergency, arrange necessary urgent work to protect and preserve the building and report actions taken to management as soon as possible.
  • Report emergency situations to management as soon as possible and no later than the end of the day.
  • Monitor building access systems, key fobs, common area keys, enterphone information, and related security processes in accordance with management direction.
  • Maintain discretion and confidentiality when handling resident, tenant, building, and owner-related information.

Policy Compliance & Professional Conduct

  • Comply with all building bylaws, rules, policies, procedures, and management instructions.
  • Maintain a working knowledge of applicable residential tenancy requirements relevant to the role.
  • Exercise professionalism, discretion, sound judgment, and respectful communication in all interactions with residents, tenants, guests, contractors, service providers, and management.
  • Maintain appropriate boundaries with residents and tenants, recognizing that work direction is provided by management and not by individual residents or tenants.
  • Disclose to management any actual or potential payment, benefit, or compensation received from residents, tenants, contractors, service providers, or other third parties connected to building-related recommendations or services.

Who You Are

The ideal candidate is a reliable, hands-on, and service-oriented building operations professional who takes pride in maintaining a clean, safe, and well-run residential property. They are practical, observant, organized, and comfortable managing a wide range of day-to-day building needs, from routine inspections and minor maintenance coordination to resident interactions, contractor access, emergency response, and detailed recordkeeping.

They bring a calm and professional presence to the building and are able to respond to issues with sound judgment, urgency, and discretion. They understand the importance of clear communication, accurate documentation, confidentiality, and appropriate escalation. They are comfortable working independently, following established procedures, and knowing when to involve management.

The successful candidate will be approachable and respectful with residents, tenants, guests, and contractors, while also maintaining clear boundaries and avoiding situations where residents or tenants provide direct work instruction. They will be proactive in identifying issues before they become larger problems and will help management maintain high standards for building presentation, safety, maintenance, and resident experience.

In addition to these qualities, you possess:

  • Previous experience as a building caretaker, resident manager, property caretaker, maintenance coordinator, building operator, concierge, janitorial supervisor, or similar residential property role is preferred.
  • Experience living on site or working in a tenant-facing residential building environment is considered an asset.
  • Working knowledge of residential tenancy legislation, building operations, common area maintenance, contractor coordination, and basic safety procedures is preferred.
  • Basic understanding of building systems, including access control, elevators, fire alarm systems, generators, pumps, lighting, waste management, parking areas, and common area facilities is an asset.
  • Strong administrative and recordkeeping skills, including the ability to maintain logs, registers, inspection reports, supply records, petty cash records, and incident documentation.
  • Ability to communicate professionally and respectfully with residents, tenants, management, contractors, utility providers, and emergency service providers.
  • Ability to perform hands-on physical duties, including walking the property, inspecting common areas, removing debris, moving light supplies, cleaning or organizing common areas, and assisting with snow and ice management.
  • Comfortable using basic technology, including email, digital logs, spreadsheets, access control systems, enterphone systems, and other building-related software or tools.
  • Valid driver’s licence and access to a vehicle may be required, depending on building needs and waste/recycling transport requirements.
  • First Aid, fire safety, WHMIS, building service worker training, or related certifications are considered assets.
  • Eligible to work in Canada (Canadian Citizen, Permanent Resident or valid working visa) required.
  • Knowledge of the Vancouver real estate market and/or coworking is an asset.
