Al's Hotshot & Trucking Services Ltd. is seeking an experienced, organized, and dependable Oilfield Truck Dispatcher to coordinate safe and efficient transportation services primarily throughout Alberta and Saskatchewan, with occasional work in other provinces or jurisdictions. The successful candidate will understand oilfield trucking operations, be confident obtaining provincial permits, and use Axon to manage dispatch information, tickets, equipment, drivers, and job details accurately. This position requires sound judgment, clear communication, attention to detail, and availability for rotating shifts and after-hours on-call coverage.

Key Responsibilities

  • Coordinate and dispatch trucks, trailers, drivers, swampers, and equipment for oilfield transportation jobs.
  • Plan routes and schedules while considering customer requirements, road conditions, legal weights, permit restrictions, driver hours, and equipment availability.
  • Obtain and verify Alberta and Saskatchewan oversize and overweight permits and, when occasional work takes place elsewhere, coordinate the required permits for the applicable province or jurisdiction; ensure all permit conditions are communicated to drivers.
  • Use Axon to create and update dispatches, enter job details, assign equipment and personnel, monitor work status, and support accurate ticketing and invoicing.
  • Provide drivers with clear instructions, locations, contacts, load details, permit requirements, and site-specific information.
  • Maintain regular communication with customers, drivers, supervisors, and field personnel throughout each job.
  • Work in partnership with other dispatchers and prepare a clear, complete handover before each shift change, ensuring active jobs, upcoming work, permits, driver and equipment status, customer updates, and outstanding issues are documented and ready for the incoming dispatcher.
  • Monitor active jobs, respond to schedule changes or delays, and arrange safe, practical solutions when issues arise.
  • Review driver tickets and supporting documents for completeness and accuracy before submission.
  • Track equipment availability, maintenance status, and documentation to avoid assigning unavailable or non-compliant equipment.
  • Maintain organized dispatch records, permits, job notes, and customer communications.
  • Support compliance with company policies, customer requirements, safety procedures, and applicable transportation regulations.
  • Participate in the rotating on-call schedule and respond promptly to after-hours dispatch needs.

Qualifications and Experience

  • Previous dispatch experience in oilfield trucking, heavy haul, hotshot, picker, winch truck, or related transportation operations is strongly preferred.
  • Demonstrated experience obtaining Alberta and Saskatchewan oversize and overweight permits; experience arranging permits for other provinces or jurisdictions is an asset.
  • Experience using Axon dispatch or transportation management software is required; experience with Motive and SiteDocs is an asset.
  • Working knowledge of commercial vehicle weights and dimensions, driver hours of service, load securement, and permit-related requirements.
  • Strong computer skills, including email, digital documents, and Microsoft Office applications.
  • Excellent verbal and written communication skills, including the ability to remain calm, respectful, and professional, de-escalate tense situations, address concerns directly, and avoid contributing to unnecessary conflict or workplace drama. Must exercise discretion and maintain the confidentiality of company, customer, driver, employee, rate, and job-related information.
  • Strong organizational skills and the ability to manage multiple time-sensitive jobs at once.
  • Accurate, detail-oriented, and able to remain professional while priorities change.
  • Proven ability to make practical decisions independently and work effectively as part of a team.
  • Knowledge of Alberta and Saskatchewan oilfield locations, highways, and rural routes is an asset.
  • Valid driver's licence and reliable transportation.

Schedule and Work Expectations

  • Full-time position with rotating day, evening, weekend, and on-call shifts.
  • Availability outside regular business hours is required to support 24/7 oilfield operations.
  • Must be able to answer calls promptly, adjust schedules, and coordinate urgent or last-minute work during assigned on-call periods.
  • Primarily office-based, with extended periods of computer and telephone work.
