Full job description

Rathod Law Professional Corporation is a full-service immigration and legal firm based in Brampton, Ontario, serving a diverse South Asian and multicultural client base across the Greater Toronto Area. With a 4.9-star rating from over 150 client reviews, we are known for our quality, care, and results. As we grow, we are looking for an exceptional leader to head our immigration casework team and set the standard for how great immigration work gets done.

The Role

We are hiring a Senior Immigration Team Lead to manage, mentor, and drive our caseworker team. This is a senior leadership position for someone who has spent years in the immigration space, has deep hands-on knowledge of Canadian immigration applications across all streams, and knows what it takes to lead a high-performing team while delivering an outstanding client experience.

You do not need a CICC/RCIC licence for this role. What you do need is real leadership experience, encyclopaedic knowledge of Canadian immigration, and an obsession with quality and client satisfaction.

What You Will Do

Team Leadership and Management

  • Lead, manage, and mentor a team of 10 to 15 immigration caseworkers on a daily basis
  • Assign files and application types based on each caseworker's strengths and areas of expertise
  • Monitor individual caseworker workload and redistribute based on capacity and volume
  • Keep the team motivated, disciplined, and aligned with the firm's quality standards
  • Conduct regular one-on-ones and team check-ins to ensure performance and morale remain high
  • Foster a positive, accountable, and collaborative team culture

Case Oversight and Quality Control

  • Review and evaluate every caseworker-prepared file before submission
  • Thoroughly check all supporting documents for completeness, consistency, and compliance with IRCC requirements
  • Ensure all applications are submitted accurately and on time, every time
  • Identify weaknesses or gaps in file preparation and address them proactively
  • Maintain the professional and quality standards established by Mr. Kapil Rathod

Training and Development

  • Train caseworkers on all immigration application types, procedures, and documentation requirements
  • Keep the team updated on the latest IRCC policy changes, Ministerial Instructions, program updates, and procedural changes
  • Continuously evaluate each caseworker's knowledge and skills and close any gaps through targeted training

Operations and Process Management

  • Oversee the full casework pipeline: document collection, file preparation, application submission, and post-submission follow-up
  • Ensure all timelines are tracked and no deadlines are missed
  • Identify bottlenecks in the casework process and implement solutions
  • Work toward achieving and maintaining a strong first-attempt approval rate across all application types

Client Experience and Customer Service

  • Represent the firm with professionalism and warmth in every client interaction
  • Ensure clients receive timely, clear, and accurate updates on their files
  • Take ownership of client concerns and resolve issues proactively, without escalation where possible
  • Champion a culture of five-star service across the entire team
  • Actively work toward generating positive client reviews and strengthening the firm's reputation

Hiring and HR Coordination

  • Be an active participant in the hiring process for new caseworkers
  • Evaluate candidates based on their knowledge of specific immigration streams and the firm's current caseload requirements
  • Monitor team capacity and proactively flag when additional caseworkers are needed based on volume trends
  • Coordinate with HR to initiate and support recruitment when required

Reporting

  • Provide regular updates to firm leadership on team performance, file status, client feedback, and any escalations
  • Track key metrics: submission timelines, approval rates, caseworker productivity, and client satisfaction

What We Are Looking For

Must Have:

  • Minimum 5 years of experience in an immigration law firm, consultancy, or related environment
  • Proven experience managing a team of 10 or more caseworkers or immigration support staff
  • Comprehensive knowledge of Canadian immigration applications across all major streams: work permits, study permits, permanent residence, Express Entry, Provincial Nominee Programs, family sponsorship, citizenship, IAD appeals, and refugee appeals (RAD and RPD)
  • Strong understanding of IRPA, IRCC procedures, and immigration documentation standards
  • Demonstrated ability to review, audit, and improve immigration files before submission
  • Excellent written and verbal communication skills in English
  • Track record of long tenure at previous organizations, demonstrating commitment and loyalty
  • Strong organizational skills and ability to manage multiple files and deadlines simultaneously

Preferred:

  • Fluency in Punjabi, Hindi, or Gujarati
  • Experience working directly with South Asian immigrant communities
  • Experience using CRM or case management software
  • Familiarity with CAIPS and GCMS notes
  • Post-secondary education in law, immigration, or a related field
