Be the Central Hub of Student Services and Administration at Brentwood

Brentwood College School is one of North America’s leading boarding schools, offering a transformative BC curriculum within a dynamic, globally diverse community of approximately 550 boarding and day students. Situated on a spectacular oceanfront campus in Mill Bay, BC, our school is a vibrant ecosystem where students participate in a highly active academic, athletic, and arts program. At the heart of our daily operations is the Student Services desk—the central hub that keeps our bustling campus connected, organized, and running seamlessly.

We are seeking a highly organized, versatile, and proactive Office Manager – Student Services & Reception to lead our front-line team. This is your opportunity to play a vital administrative role in an exceptional educational community.

What You’ll Do

  • Lead and Coordinate: Supervise, schedule, and mentor the Reception team, ensuring seamless coverage, managing timesheets, and stepping in to provide direct front-desk coverage and workflow triage whenever necessary.
  • Manage Compliance and Records: Oversee critical student records, medical insurance compliance (domestic and private), and sensitive legal travel documents, including study permits and passports.
  • Support Financial Operations: Direct daily reception cash management, weekly cash-outs, and partner with the Accounts department to handle student billing, medical receipts, and general accounting administration.
  • Bridge the Community: Act as the primary administrative liaison between students, parents, houseparents, faculty, and departments including Admissions, Accounting, the Health Centre, and the Academic Office.

  • Proven Experience: A background in office management, school administration, or a similar multifaceted administrative role, ideally managing and scheduling a team.
  • Technical Savvy & Discretion: High proficiency with student information systems, accounting software, and MS Office, paired with the absolute utmost professionalism in handling confidential medical, legal, and financial data.
  • Exceptional Multi-tasking: Outstanding organizational and time-management skills, with the ability to maintain accuracy and a calm demeanor amidst frequent interruptions.
  • Strong Communication: Exceptional interpersonal skills to collaborate effectively with students, parents, staff, and external partners alike.
