Full job description

CGI is currently seeking an Executive Assistant to provide high level administrative support for our Business Unit leader in our Downtown 250 Yonge location. The ideal candidate for this position will have a high level of energy, decorum and discretion that is second to none. You possess the '6th sense' that allows you to be 2 steps ahead at all times. You will have experience in a fast paced professional consulting environment supporting senior leadership and have a good understanding of both technical and business vocabulary. You will be able to effectively navigate and manage complex and time sensitive/urgent situations and have a tolerance for ambiguity. You are adept at working effectively with a wide variety of people inside and outside the organization. Finally, as the ideal candidate, you will have a positive and agile approach to keeping the environment organized and the team you support productive.

This role is hybrid and requires you to be at our downtown Toronto 250 Yonge Office at a minimum 4 days per week subject to change at any time.

Contract position - 13 months duration

Your future duties and responsibilities

1. Executive Administrative Support:
  • Provide confidential executive support to one or more Vice Presidents and their Director teams
  • Schedule internal and external meetings, providing proactive and real time calendar management
  • Screen requests to determine priority level, including visitors, phone calls, and incoming correspondence. Gather, compile, verify, and analyze information for the executive's use in documents such as memos, letters, reports, speeches, presentations and news releases.
  • Facilitate smooth communications between the executive and coworkers and between the executive and external parties such as customers, media, and the public.
  • Handle external requests with tremendous tact and diplomacy
  • Maintain administrative procedures, including business mail, travel arrangements, expense reports, authorizations and approvals, etc all in line with company policies and procedures

2. Project Co ordination:
  • Assist with the planning, co ordination, organization of all requirements of large scale events, conferences and executive team activities
  • Assist with preparation of multi media presentation material, collateral and theme strategies using MS PowerPoint, MS Word and MS Excel
  • Create planning documents and liaise with specific partners, vendors or suppliers
  • Manage timeframes and budget related requirements
  • Participate in special project assignments on an as required basis

Required qualifications to be successful in this role

  • Minimum 5 years senior executive level administrative support experience in a large professional organization
  • Resourceful and intuitive self starter, able to thrive in a fast paced, dynamic setting and enjoy multi tasking in a technical and administrative environment.
  • Extremely pro active, with an energetic and professional demeanor and high sense of urgency
  • Proven achiever and polished professional
  • Resourceful, with the ability to prioritize, multi task and meet deadlines with minimal supervision
  • High level of professionalism, customer service, energy, speed and accuracy
  • Independent judgment, absolute discretion and diplomacy
  • Confidential, dedicated and punctual

Skills required:
  • Excellent communication skills (verbal and written); French language would be an asset
  • Advanced planning and organization skills
  • Professional corporate image combined with strong interpersonal skills

CGI is providing a reasonable estimate of the pay range for this role. The determination of this range includes factors such as skill set level, geographic market, experience and training, and licenses and certifications. Compensation decisions depend on the facts and circumstances of each case. A reasonable estimate of the current range is $65,000–$115,000. This role is an existing vacancy.
