Diversified Health Clinic is one of Victoria's fastest-growing multidisciplinary health clinics. Our team includes Chiropractors, Physiotherapists, Registered Massage Therapists, Acupuncturists, Kinesiologists, Counsellors, and Medical Professionals working together to provide exceptional patient care.

As we continue to grow, we're looking for an exceptional Office Manager / Clinical Director to help lead our operations.

This is more than an office manager position. We're looking for someone who enjoys building systems, developing people, solving problems, and helping a business grow.

About the Role

As the Office Manager / Clinical Director, you will oversee the day-to-day operations of the clinic while working closely with the owners to improve efficiency, patient experience, and team performance.

You will be responsible for ensuring our front desk runs smoothly, supporting our practitioners, coaching our administrative team, implementing new systems, and helping us continue to grow into one of Victoria's premier healthcare clinics.

Responsibilities

Leadership

  • Lead and support our front desk team
  • Coach staff and provide ongoing feedback
  • Assist with hiring, onboarding, and training
  • Foster a positive, professional clinic culture
  • Help resolve patient concerns and team challenges
  • Maintain accountability and performance standards

Operations

  • Ensure smooth daily clinic operations
  • Improve clinic systems and workflows
  • Develop and maintain Standard Operating Procedures (SOPs)
  • Monitor schedules and optimize clinic efficiency
  • Coordinate equipment maintenance and clinic organization
  • Manage inventory and clinic supplies
  • Assist with facility management and vendor relationships

Patient Experience

  • Ensure every patient receives exceptional customer service
  • Monitor patient satisfaction and reviews
  • Help improve patient retention and rebooking
  • Maintain high service standards across all departments
  • Resolve patient concerns professionally

Business Performance

  • Track clinic KPIs and performance metrics
  • Analyze reports and identify opportunities for improvement
  • Help improve front desk efficiency and conversion rates
  • Support marketing initiatives and community events
  • Assist with implementing new technology and software
  • Work alongside ownership on strategic projects

Administration

  • Scheduling support
  • Staff coordination
  • Policy implementation
  • Payroll support
  • HR administration
  • Documentation and compliance
  • General office management

QualificationsRequired

  • 3+ years of leadership or management experience
  • Excellent communication and interpersonal skills
  • Strong organizational and time management abilities
  • Ability to prioritize in a fast-paced environment
  • Strong computer skills
  • High attention to detail
  • Professional and positive attitude

Preferred

  • Experience in healthcare or medical administration
  • Experience leading a customer service team
  • Experience with Jane App or other EMR software
  • Experience with scheduling and clinic operations
  • HR or people management experience
  • Experience with KPI tracking and reporting
