At YBL Accounting, we prioritize collaboration, honesty and adaptability, to drive continuous improvement and alignment within our team. For more information, visit www.ybl.ca.
Position Overview:
We are seeking an AI Solutions Architect to take ownership of building, maintaining, and scaling AI-driven systems across both our internal operations and our client engagements.
This is a hands-on role focused on execution, with a strong emphasis on building reliable, production-grade systems. You will be responsible not only for creating new solutions, but also for maintaining and improving existing applications that are already deeply embedded in our operations.
As our systems continue to evolve, this role will play an important part in ensuring our applications and infrastructure are designed to scale securely within cloud environments.
You will work closely with our Operations Manager and COO, who will provide strategic direction and accounting domain expertise. Your role is to translate that direction, along with client needs, into scalable, secure, and well-architected systems.
This is a foundational hire. You will be the first dedicated person in this function and will play a key role in building the structure, standards, and future team around AI and automation at YBL.
We are not looking for someone who only builds prototypes. We are looking for someone who can take ownership of systems that are used daily and ensure they remain reliable, secure, and scalable.
Key Responsibilities:Internal AI & Automation Development
- Design and build internal automations to streamline workflows across bookkeeping, accounting, and operations
- Implement AI tools to reduce manual tasks and improve accuracy
- Connect systems using APIs, webhooks, and automation platforms
- Build and scale internal applications using platforms such as Lovable and supporting technologies
- Continuously identify opportunities to improve efficiency through automation
- Lead internal AI training and enablement, raising the whole team's AI fluency so the tools you build actually get used across the firm
- See your work featured in YBL's brand and content, the systems and wins you build get showcased as part of our story, internally and externally
Client Solutions, System Design & Requirements Definition
- Work with internal stakeholders and client-facing team members to clearly define client pain points, requirements, and desired outcomes
- Translate business challenges into structured system designs, including both functional and non-functional requirements (e.g. scalability, reliability, security)
- Design and implement AI and automation systems tailored to client businesses
- Build workflows that improve client processes such as reporting, document management, and data flow
- Identify opportunities to develop “co-pilot” style solutions that enhance client workflows, decision-making, and operational efficiency
- Contribute to developing scalable, repeatable AI-enabled service offerings and solutions for clients
Systems Ownership & Application Development
- Maintain and improve existing internal and client-facing applications
- Ensure systems are stable, reliable, and designed for ongoing use
- Debug, troubleshoot, and continuously improve system performance
- Take full ownership of the lifecycle of systems from design through to long-term maintenance
- Take our existing internal apps from prototype to genuine production-grade, hardening architecture, reliability, and security so they hold up at scale, not just in demos
Cloud Architecture & Deployment
- Design and support cloud-based architecture for internal and client-facing applications, particularly within Azure environments
- Ensure applications are structured for scalability, reliability, and secure data handling
- Support deployment, integration, and ongoing performance of cloud-based systems
- Collaborate with leadership to align cloud architecture decisions with long-term system and data strategy
Data, Security & Compliance
- Design systems with data security and privacy in mind, particularly when handling sensitive financial information
- Implement best practices around data access, storage, and workflow security
- Support the evolution of YBL’s systems toward SOC-compliant infrastructure and processes
- Ensure solutions consider reliability, scalability, and risk as usage and data volumes grow
Systems, Standards & Infrastructure
- Maintain and optimize YBL’s AI, automation, application, and cloud stack
- Ensure integrations between systems are secure, reliable, and scalable
- Implement logging, monitoring, and error handling where appropriate
- Support cloud-based infrastructure and environment structure (e.g. development, testing, production) where appropriate
- Develop reusable components, workflows, and patterns that can be leveraged across multiple use cases
- Contribute to establishing best practices, guardrails, and standards for how AI and automation solutions are built at YBL
- Continuously improve how solutions are designed, built, and documented to support long-term scalability and team growth
- Create documentation that supports maintainability and future team growth
Strategic Contribution, Product Development & Department Growth
- Work with leadership to identify high-impact opportunities for AI and automation
- Provide input on tool selection, system design, and long-term architecture
- Contribute to the development of AI-enabled products, tools, or service offerings that can be scaled across the client base
- Help identify opportunities to turn internal systems and client solutions into repeatable, productized offerings
- Help turn our internal tools into external products we can sell to other firms, part of YBL evolving into a true tech-enabled company
- Help define processes, standards, and structure for this function as it grows
- Play a key role in building the foundation for a future AI and automation team
- Opportunity to grow into a leadership role as the department expands
What Success Looks Like in This Role:
- Existing applications are stable, reliable, and continuously improving
- Manual work is consistently reduced through thoughtful automation
- Client solutions are well-designed, scalable, and deliver real operational value
- Systems are built with long-term reliability, security, and scalability in mind
- Cloud-based systems are structured effectively and support growing data and usage demands
- YBL is positioned to meet future SOC and data governance requirements
- Reusable systems and patterns emerge, enabling scalable service delivery
- A strong foundation is established for a growing AI and automation function
Qualifications:
- 3+ years of experience in automation, systems building, or software development
- Demonstrated experience building real-world applications or automations, ideally supported by a portfolio of projects
- Experience developing solutions for clients, including identifying pain points, designing solutions, and implementing systems that solve real business problems
- Strong ability to break down ambiguous problems and define clear, structured solutions before building
- Experience designing systems that account for both functional outcomes and non-functional requirements such as performance, scalability, and security
- You must be able to show us production systems you have personally built that real users depend on today, not prototypes, demos, or proof-of-concepts. Be ready to walk us through what you built, the decisions you made, and what you would do differently.
- Strong hands-on experience with tools such as n8n, ChatGPT / LLM integrations, Notion, APIs, and webhooks
- Experience with low-code / no-code and “vibe coding” tools such as Lovable or similar platforms
- Experience maintaining and improving production-level systems
- Experience working with cloud platforms (Azure preferred), including deploying or supporting applications in a cloud environment
- Understanding of cloud architecture principles such as scalability, security, and environment management
- Experience with tools such as Supabase, Zapier, or similar platforms
- Basic programming knowledge (Python, JavaScript, etc.)
- Experience with Azure services (e.g. Azure Functions, storage, AI services, etc.)
- Familiarity with cloud-based AI tooling or infrastructure
- Familiarity with data security and compliance concepts (e.g. SOC 2)
- Experience working with financial or operational workflows
- Ability to think in systems and translate business needs into technical solutions
- Strong problem-solving skills and a bias toward action
- Interest in building something long-term and contributing to the growth of a new function within a company
How You Work:
- You take ownership and follow through without needing constant direction
- You enjoy building and improving systems, not just launching them
- You focus on practical, reliable solutions over theoretical ones
- You are comfortable working with both technical and non-technical stakeholders
- You don’t just build what’s requested, you help define the right problem to solve
- You think beyond one-off solutions and look for ways to build systems that can be reused, scaled, or turned into repeatable offerings
- You are motivated by building something from the ground up
Why This Role Matters:
This role is a key step in how we scale YBL.
By building strong AI and automation systems, we can:
- Reduce manual work
- Improve client outcomes
- Create more capacity within our team
- Develop new service offerings
This role will also contribute to developing scalable, productized solutions that can be deployed across multiple clients and support the evolution of new service capabilities.
You will play a direct role in shaping how technology is used within the firm and help build a function that will become increasingly important to our future.
