Job Summary

The Small Business Coordinator supports the delivery, promotion, and continuous improvement of Small Business Centre (SBC) programs and services. The role focuses on program coordination, client support, research, and performance tracking to enhance service delivery and drive measurable outcomes for the local business community.


The position also provides operational and administrative support to ensure the effective day-to-day functioning of the Centre, including coordinating activities, maintaining records, and supporting staff, consultants, and client interactions.

Duties & Responsibilities

  • Deliver general small business start-up support, including conducting research, preparing resources, and completing client follow-ups to support informed decision-making.
  • Provide in-person client service at the Small Business Centre counter, including greeting walk-in clients, responding to inquiries (in person, phone, and email), and directing clients to appropriate services or staff.
  • Support program delivery and client engagement activities, including managing consultation bookings, overseeing e-learning platforms and registrations, and assisting with government-funded entrepreneurship programs (e.g., Starter Company Plus, Futurpreneur).
  • Provide administrative and operational support for daily Centre operations by maintaining records, files, information systems, invoices, payments, and bulk communications. Manage the Small Business Centre inbox and voicemail, ensuring timely responses and efficient coordination of client and stakeholder inquiries.
  • Support staff and consultants by providing research, resource materials, and administrative assistance for client engagements, workshops, and program delivery.
  • Maintain and update business resources, including databases, reference materials, lending library, and entrepreneurship education content to ensure accuracy and relevance. Maintain accurate and up-to-date client records in the CRM, including tracking interactions, consultations, and follow-ups.
  • Conduct and support business research initiatives for staff and consultants, including identifying industry trends, licensing requirements, and funding/program opportunities.
  • Coordinate and execute pre-event communications, including social media promotion and stakeholder outreach to increase awareness and participation.
  • Prepare and distribute communication materials, including blog posts, social media content, and program updates, ensuring alignment with corporate branding and funding requirements.
  • Assist with planning and delivery of events, workshops, and outreach activities, including preparing materials, managing logistics, and representing the Small Business Centre at events, job fairs, and trade shows. Ensure all event materials, presentations, and resources are current, consistent, and prepared in advance to support a professional client experience.
  • Support collaboration with internal teams and external partners to ensure smooth delivery of services and programs.
  • Track and report on program participation, client engagement, and service outcomes, ensuring compliance with internal, Regional Council, MEDJCT, and government-funded program reporting requirements. Compile and analyse data to support program evaluation, performance measurement, and informed decision-making.
  • Other duties as assigned.

Skills & Qualifications

  • Post-secondary education in Business, Economics, Public Administration, or a related field, with 3-5 years of relevant experience in research, analysis, customer service, advisory services, or administrative coordination.
  • Proficiency with CRM systems, digital tools, and social media platforms, combined with strong analytical, problem-solving, and data interpretation skills.
  • Strong communication, interpersonal, and customer service skills with the ability to engage diverse audiences, build partnerships, and exercise political acuity.
  • Proven ability to plan, organise, prioritise, and manage multiple initiatives, including experience with event coordination, client engagement, or small business support programs.
  • Detail-oriented, proactive, and adaptable, with strong time management skills, the ability to work independently and collaboratively, maintain confidentiality, and support continuous improvement initiatives.
  • Experience working within a municipal or similar public sector service delivery environment is considered an asset.

Working/ Employment Conditions

  • This position requires regular onsite attendance and may occasionally require work outside of normal business hours to support events, workshops, outreach activities, and program delivery.
  • The role also requires travel to off-site locations within the community to attend and support events, meetings, and stakeholder engagement activities. A valid driver's licence and access to reliable transportation is required.
