Position Overview

KIN Integrated Child Health is seeking a warm, organized, and dependable Client Care & Administrative Coordinator to support the daily operations of our interdisciplinary child and family health clinic.

This person will be one of the first points of contact for families and will help ensure clients are connected to the right service, booked appropriately, and supported throughout their experience with KIN.

The position will begin part-time, with the intention of transitioning to full-time as the clinic grows.

Key Responsibilities

  • Respond to phone, email, website, and in-person inquiries.
  • Provide families with information about KIN services, clinicians, fees, and booking processes.
  • Help route clients to the appropriate service and clinician using established clinic guidelines.
  • Book, reschedule, and manage appointments in Jane App.
  • Manage new client intake, consent forms, and required documentation.
  • Maintain accurate and confidential client records.
  • Process payments, receipts, invoices, and direct billing where applicable.
  • Support waitlists and follow up with prospective clients who have not completed booking.
  • Coordinate assessment appointments, forms, reports, and follow-up appointments.
  • Support clinicians with general administrative needs.
  • Manage incoming documents, referrals, and communication from families and outside providers.
  • Assist with maintaining an organized, welcoming, and efficient clinic environment.
  • Escalate clinical, consent, confidentiality, or safety concerns to the appropriate clinician or leadership team.

Qualifications

We welcome applicants with backgrounds in healthcare administration, medical administration, office administration, customer service, or related fields.

Preferred qualifications include:

  • Office Administration, Healthcare Administration, or related post-secondary education
  • Relevant administrative or client-service experience
  • Experience working in a medical, psychology, counselling, pediatric, or allied-health setting

A Medical Office Assistant (MOA) Certificate or Diploma is considered an asset, but is not required.

Experience with Jane App is also an asset, although training can be provided.

Role Boundaries

This is an administrative and client-care position.

The successful candidate will help families navigate KIN's services but will not provide clinical advice, diagnose, interpret assessments, recommend treatment, or guarantee insurance coverage.

When clinical judgment is required, the matter is referred to the appropriate clinician.
