We're looking for a highly organized, customer-focused, and adaptable Administrative Assistant to support our Social Development division.
This role provides primary administrative and coordination support to the Director and the Social Development leadership team. As a central point of coordination for the division, you'll help keep priorities on track, support community engagement activities, coordinate information and communications, and support the day-to-day administration of a diverse portfolio that includes Transit, Housing, Social Planning & Inclusion, Family and Community Support Services (FCSS), and the Family Resource Network (FRN).
Your Impact
As the Administrative Assistant, you'll play an important role in helping the Social Development team deliver services and initiatives that make a difference in the lives of residents.
From coordinating meetings and community engagement activities to managing correspondence, tracking priorities, supporting records management, and responding to inquiries, you'll help ensure people, information, and processes stay connected and organized. Your ability to anticipate needs, manage competing priorities, and keep details organized will support effective decision-making and service delivery across the division.

In This Role, You Will:
- Provide administrative and coordination support to the Director, Social Development, and the broader Social Development team.
- Serve as a key point of contact for inquiries, correspondence, and information requests from internal and external stakeholders.
- Manage calendars, coordinate meetings, prepare agendas, record minutes, and track action items and follow-up activities.
- Coordinate community engagement activities, public meetings, advisory committees, and stakeholder events, including logistics, registrations, materials, and documentation.
- Prepare, format, proofread, and coordinate reports, presentations, correspondence, Council-related materials, and other divisional documents.
- Maintain records and information management systems and ensure documentation is accurate, organized, and accessible.
- Track divisional priorities, projects, agreements, Council items, issues, and key deadlines.
- Support budgeting, procurement, reporting, and administrative processes across the Social Development portfolio.
- Coordinate communication and follow-up activities across Transit, Housing, Social Planning & Inclusion, FCSS, and FRN.
- Assist with updates to divisional website content and public-facing information in collaboration with Communications and program areas.
- Highly organized and enjoy keeping people, projects, and information on track.
- Comfortable managing multiple priorities and adapting to changing demands.
- Customer-focused and committed to providing responsive, professional service.
- Skilled at coordinating meetings, logistics, documentation, and follow-up activities.
- Confident working independently while supporting a busy and diverse portfolio.
- Detail-oriented and take pride in producing accurate, well-organized work.
- Professional, discreet, and trusted to handle sensitive information appropriately.
- A strong communicator who enjoys building positive relationships with colleagues, community partners, and residents.
- Completion of a post-secondary program in Office Administration, Business Administration, Public Administration, Communications, or a related field, or an equivalent combination of education and experience.
- Administrative experience, preferably in a municipal, public sector, social services, or other complex multi-service environment.
- Experience coordinating calendars, meetings, correspondence, records, and competing priorities.
- Strong organizational, customer service, communication, and problem-solving skills.
- Experience preparing reports, presentations, meeting materials, and professional correspondence.
- Proficiency with Microsoft Office Suite and the ability to work with records management, scheduling, and administrative systems.
- The ability to exercise sound judgment, maintain confidentiality, and manage sensitive information appropriately.
- Experience with records and information management practices and supporting multiple programs, teams, or service areas is considered an asset.
- Support a diverse portfolio that positively impacts the lives of Cochrane residents.
- Work with a collaborative team focused on community well-being, inclusion, and service excellence.
