Position Overview:

The Admissions Coordinator is responsible for engaging individuals, families, and referents as they explore treatment options with EHN Canada’s private mental health and addiction programs. This role combines compassionate client advocacy with consultative sales — helping prospective clients understand our programs, assess fit, and make informed decisions about entering care.

Acting as the first point of contact, the Admissions Coordinator builds trust, identifies needs, and guides clients through both the clinical and financial aspects of admission. Success requires empathy, professionalism, and the ability to clearly communicate EHN’s value while helping clients and families commit to the program best suited to their goals and resources.

Note that this is a 12 months temp FT position.

Key Responsibilities:

  • Respond to inquiries via phone, email, and online chat, providing accurate, compassionate, and persuasive guidance on EHN’s treatment options.
  • Conduct needs-based consultations that explore motivations, barriers, and readiness for change, helping clients make confident, informed decisions about treatment.
  • Effectively communicate the clinical and personal value of EHN programs, differentiating our services in a private healthcare environment.
  • Support, guide, and assist clients through strategic pricing discussions, financing options, and program selection, ensuring alignment between needs and affordability.
  • Maintain and convert a high volume of qualified inquiries into successful admissions, balancing empathy with clear, goal-oriented communication.
  • Collaborate with admissions, marketing, and clinical teams to optimize conversion rates and enhance the client experience.
  • Coordinate admissions by liaising with clinical staff, medical professionals, and referral sources.
  • Offer case management support, including communication with clients, families, healthcare providers, legal representatives, and other involved parties.
  • Document client interactions, assessments, and referrals in compliance with professional and organizational standards.
  • Facilitate pre-admission requirements, including medical assessments and necessary documentation.
  • Maintain accurate client records and waiting lists, ensuring timely follow-ups and admissions coordination.
  • Act as a liaison between clients and community resources, providing referrals to external services when appropriate.
  • Participate in interdisciplinary team meetings to discuss client cases, care plans, and admission processes.
  • Support program outreach by educating referral sources, community partners, and stakeholders on EHN Canada’s services.
  • Assist with reporting, data management, and process improvement initiatives within the admissions department.
  • Ensure a client-centered, trauma-informed approach in all interactions.
  • Other duties as assigned to support the overall effectiveness of the admissions process.

Qualifications:

  • 2-3 years experience in consultative sales, client engagement, or healthcare intake coordination preferred.
  • Proven ability to build rapport, overcome objections, and convert inquiries into committed clients while maintaining ethical and trauma-informed care practices.
  • Comfort discussing financial considerations and helping clients make decisions around private treatment investment.
  • Bachelor’s degree in Social Work, Psychology, Counselling, or a related field preferred.
  • Medical Terminology Certification is an asset.
  • Deescalation and/or Suicide Prevention Certification is an asset.
  • Proficiency with Salesforce or similar client management systems is an asset.
  • Knowledge of mental health and addiction treatment modalities.
  • Excellent interpersonal, communication, and crisis intervention skills.
  • Ability to navigate complex client situations with empathy, professionalism, and discretion.
  • Familiarity with client documentation, case notes, and electronic medical records.
  • Experience collaborating with interdisciplinary teams and external referral sources.
  • Ability to work in a fast-paced environment while maintaining a client-centered approach.
  • Commitment to ethical and trauma-informed care practices.
