Job Summary

We are looking for a motivated and detail-oriented HR Assistant /Administrator to join our team. This position is ideal for an HR professional who enjoys working in a dynamic manufacturing environment and is passionate about supporting employees, maintaining compliance, and contributing to the company's continued growth.

The successful candidate will assist with day-to-day human resources operations, recruitment, employee relations, payroll support, health and safety administration, and HR compliance.

Key Responsibilities

  • Support the full recruitment process, including posting job advertisements, screening resumes, coordinating interviews, and communicating with candidates.
  • Prepare offer/employment letter, onboarding documents, and other HR-related correspondence.
  • Coordinate new employee onboarding and orientation.
  • Maintain accurate and confidential employee files and HR records.
  • Process employee lifecycle changes, including new hires, promotions, transfers, leaves of absence, and terminations.
  • Respond to employee inquiries regarding company policies, benefits, and HR procedures.
  • Support payroll by collecting and verifying employee attendance, timesheets, vacation, sick leave, and other payroll-related information.
  • Coordinate employee training programs and maintain training records.
  • Assist with performance review administration and employee engagement initiatives.
  • Ensure compliance with the Ontario Employment Standards Act (ESA), workplace policies, and applicable employment legislation.
  • Serve as the primary point of contact for WSIB, ESA, and Health & Safety matters, including maintaining required documentation and supporting compliance initiatives.
  • Administer the company's group benefits and insurance plans.
  • Prepare HR reports, letters, and other administrative documentation.
  • Maintain strict confidentiality of employee information.
  • Provide general administrative support, including filing, data entry, answering phone calls, and managing HR correspondence.
  • Assist the HR Manager with special projects and other human resources initiatives as assigned.

Qualifications

  • 1–3 years of experience in an HR Assistant, HR Administrator, or similar Human Resources role.
  • Diploma or degree in Human Resources, Business Administration, or a related field is preferred.
  • Strong knowledge of HR practices, recruitment, onboarding, and employment legislation.
  • Willing to learn or knowledge of the Ontario Employment Standards Act (ESA), WSIB, and Occupational Health & Safety requirements.
  • Excellent verbal and written communication skills.
  • Ability to prioritize multiple tasks and work effectively in a fast-paced environment.
  • High level of professionalism and ability to maintain confidentiality.
  • Proficiency in Microsoft Office (Word, Excel, Outlook).
  • Ability to communicate in English is required. Bilingual proficiency in Hindi and/or Punjabi is considered a strong asset.
  • Valid First Aid & CPR Certification is preferred. Candidates without certification must be willing to obtain it shortly.
