Full job description

Position Summary:

This position is responsible for portraying a professional image of the organization through courteous interactions with visitors and guests, in person and via telephone communications, as well as performing various clerical/mail duties

*Office hours are Monday – Friday 8:30 am – 4:30 pm
*This position is not eligible for the hybrid/ work from home model

Duties and Responsibilities:

  • Greet clients, suppliers, couriers and the general public in a courteous and professional manner;
  • Be conscious of security on the premises and report concerns to management;
  • Ensure the efficient and effective handling of all phone calls by answering and directing all incoming telephone calls in a pleasant and professional manner; take messages or redirect calls for staff that are out of the office;
  • Send, receive and sort all incoming correspondence;
  • Type correspondence, proofread, create and maintain mail lists and mail merges;
  • Perform a variety of clerical duties including data entry; sorting, and filing;
  • Monitor overall maintenance of photocopier machine as needed including the replacement of paper and toner;
  • Maintain a tidy reception area;
  • Maintain tidy boardroom, lunch room and training room, order coffee supplies and paper products;
  • Open daily incoming mail, date-stamp all mail;
  • Enter all incoming cheques in daily cheques receipt journal;
  • Arrange for couriers/taxis as required;
  • Manage lunch requests, including ordering, completing payments and distribution of food;
  • Posting mail, sending out Canada Post Express Post packages, ordering and maintaining of office supplies
  • Support for quarterly board meeting, set up of meals, coffee etc;
  • Preparation of Member Co-op Annual Meeting packages;
  • Maintaining of Arctic Intranet (HUB) updates for the Division;
  • Perform other duties as required.

Qualifications:

  • Proven background in managing a switchboard;
  • Excellent communication skills, both written and oral;
  • Strong organizational skills;
  • Excellent customer service and interpersonal skills; able to deal with people in a positive manner both in person and on the telephone; always projecting a positive, professional image for the organization;
  • Ability to multi-task and work well in a fast-paced environment with minimal supervision;
  • Intermediate skills in MS Office (Word, Outlook, Excel and PowerPoint);
  • Proven commitment to personal growth and development;
  • Ability to speak an Indigenous language (ideally Inuktitut or Inuinnaqtun) would be a definite asset.
