About Hope Mission

Hope Mission is a Christian non-profit social care agency that has been serving vulnerable people in Alberta since 1929. We are one of Alberta’s largest social service agencies and currently operate emergency shelters, addiction recovery programs, youth programs, community outreach services, housing programs, and health programs (delivered through our HopeHealth division) across Edmonton, Red Deer, Wetaskiwin, and beyond. Position Summary

The Executive Assistant, Development & Communications provides high-level administrative, operational, and project support to the Director and team, serving as a trusted partner in advancing the department’s goals. This role coordinates strategic initiatives, fundraising activities and events, manages day-to-day operations, and assists with financial administration including invoices, contracts, purchase orders, and expense tracking. The Executive Assistant also fosters strong relationships with donors, volunteers, and other stakeholders to further Hope Mission’s mission.

Key Responsibilities

Administrative & Executive Support

  • Manage the Director’s calendar, schedule meetings, and coordinate travel arrangements.
  • Monitor and prioritize incoming emails, calls, and requests, responding on behalf of the Director when appropriate.
  • Serve as a primary point of contact for staff and various stakeholders on behalf of the Director and department.
  • Prepare and edit correspondence, reports, grant documents, and presentations.
  • Maintain accurate records and filing systems.

Operations & Financial Administration

  • Support procurement, supply ordering, and invoice processing.
  • Assist with financial administration including contracts, purchase orders, and expense tracking.

Project & Program Support

  • Support special projects, research, and program initiatives as needed.
  • Assist the Volunteer Coordinator in processing applications during busy seasons.
  • Other duties as assigned.

Qualifications

Education & Experience

  • Minimum of 2 years of experience as an Executive Assistant or in a similar administrative role, ideally in a non-profit setting.
  • Post-secondary education in Business Administration, Communications, or a related field is an asset.
  • Experience in a non-profit, fundraising, or development environment is an asset.

Skills & Competencies

  • Strong proficiency in Microsoft Office Suite.
  • Excellent written and verbal communication skills.
  • Ability to manage multiple priorities with exceptional attention to detail.
  • High level of professionalism, discernment, and ability to prioritize tasks and incoming requests.
  • Demonstrated ability to handle confidential and sensitive information with the utmost discretion and integrity.
  • Experience supporting fundraising and development activities.
  • Knowledge of non-profit governance and community engagement.
  • Ability to work independently and collaboratively in a mission-driven environment.
  • Exceptional interpersonal skills.
