Role Overview:

The Executive Secretary will provide administrative support to the senior management team, ensuring smooth and efficient day-to-day operations of the school’s leadership. You will handle key tasks and serve as a point of contact for both internal and external stakeholders.

We expect you to operate with a high degree of professionalism, independence, and discretion, as the role will require handling confidential matters. You will be instrumental in maintaining efficient communication within the leadership team, organizing complex schedules, managing key correspondence, and facilitating school-wide operations.

Key Responsibilities:

  • Administrative Support: Manage the daily schedules of senior management, including calendar organization, meeting preparation, and time-sensitive task management.
  • Communication Hub: Act as the first point of contact for internal and external communication, ensuring all inquiries are handled efficiently and professionally.
  • Document Management: Maintain and organize confidential files and documents with discretion and accuracy.
  • Event Coordination: Assist in the planning and execution of school events, meetings, and other administrative functions as required.
  • Office Operations: Oversee office supplies, liaise with external vendors, and ensure the administrative office is stocked and operational.
  • Task Execution: Assist in completing special projects and tasks as delegated by the management team.

Required Qualifications:

  • Experience: At least 3 years of experience in a high-pressure administrative or secretarial role, ideally within a fast-paced environment. Experience in education is a plus.
  • Skills: Strong proficiency in office software (e.g., Microsoft Office Suite, Google Workspace, CRM tools). Excellent written and verbal communication skills with an ability to handle professional and academic correspondence.
  • Attributes: High attention to detail, strong organizational skills, and an ability to prioritize tasks effectively. Ability to work independently, manage time well, and meet tight deadlines.
  • Disposition: A polished and professional demeanor with a positive, proactive attitude. You must be capable of managing sensitive information with utmost discretion.
