Financial Office Administrative Assistant (Income $22-30 hourly) Peterborough, Ontario

Full Time Position

As a Financial Office Administrative Assistant, you will work in a supporting role alongside an established administrative team to assist our Financial Planners. Our focus as a firm is in developing and deepening client relationships by providing high quality advice and service within the mass affluent market. You will work within a collective framework of support and mentorship to ensure you provide industry leading results for both our clients and the practice overall.

  • Your primary role would be to support a team of financial advisors and existing administrative team by entering client trades, opening client accounts, transaction follow-up, servicing client requests, and ensuring client paperwork accuracy. You will help prepare for meetings and perform follow-up.
  • Other duties might include: file maintenance, handling incoming and outgoing client calls, head office correspondence, client presentation preparation, assisting with marketing initiatives,

Do you have the skills that will enable you to succeed in this role? We’d love to explore working with you if you:

  • Have a minimum of 5 years experience providing administrative support in a financial services firm.
  • Possess knowledge of fundamental investment concepts, practices, and procedures used in the financial industry.
  • Have previous experience in administrative processes and procedures in the financial industry which may include opening accounts, preparing files, keeping thorough notes, and processing with an understanding of Compliance practices and regulations.
  • Have a High School Diploma. A degree/diploma within Financial Management or Business Administration would be an asset.
  • Have advanced proficiency in Microsoft Outlook, Word, Excel, PowerPoint, and Adobe Professional
  • Have office management experience which would be an asset.
  • Have a mutual fund license which could garner special consideration.
  • Take satisfaction in helping others and solving problems.
  • Have a meticulous attention to detail, ability to prioritize tasks, possess a positive attitude, and have exceptional interpersonal skills.
  • Are responsible, confident, self-motivated, and a team player.
  • Have experience with CRM (Customer Relationship Management) software and maintaining/improving CRM databases is an asset.
  • Have experience with Univeris system is an asset.
  • Have strong organizational skills with ability to set priorities and handle multiple tasks.
  • Are self-motivated and able to work independently.
  • Have good verbal and written communication skills.
  • Can complete work with a limited degree of supervision once established.
  • Have a proven ability to handle confidential information with tact and discretion.
