Rowanwood Properties Limited is a Calgary-based privately owned family company which primarily operates through its subsidiary Atlas Development Corporation. The company has been in business since 1983 and currently owns and manages an extensive portfolio of retail, industrial, and office buildings principally throughout Western Canada. Recent projects include the recently opened Lululemon 17th Avenue SW, former Lululemon Banff, and the redevelopment of Cascade Plaza in Banff.

Atlas is privately owned by two Calgary entrepreneurs who each invest and operate through their respective holding companies. Atlas is comprised of a support staff of 24 associates who provide property management, accounting, project management, and marketing/leasing services.

The Opportunity

The Executive Personal Assistant is a multi-tasking and versatile professional who will report to the Founder and support the President and other senior staff. in Rowanwood. The ideal candidate will be highly organized and self-motivated, exhibit a professional demeanor, and display discretion and confidentiality in all aspects of their work. This individual will be called upon to support business needs of the family office as well as family needs related to travel and property management.

You will enjoy working autonomously in a multitasking environment, be highly motivated, and service oriented. You will play a key role in ensuring smooth administrative processes, coordinating communications, and maintaining accurate records for both Rowanwood Properties and Atlas Development Corporation.

Specific Responsibilities

  • Leverage the effectiveness of the President and his support staff by providing superb support in the daily administrative tasks of the office and external personal matters.
  • Manage and oversee both business and family documentation; coordinate document scanning, storage, and filing.
  • Support and manage the administrative details related to family properties and service providers as directed by the President.
  • Act as a liaison to the family with personal affairs as requested for special events and travel.
  • Coordinate and manage detailed family travel arrangements, including flight and hotel bookings, ground transportation, itineraries, changes, and troubleshooting while the family is in transit.
  • Provide personal service support and demonstrate a willingness to work or adjust travel plans on weekends on occasion when required.
  • Prepare correspondence, reports, presentations, and meeting materials.
  • Maintain files, digital records, and documentation for ongoing projects.
  • Schedule appointments, manage calendars, and organize meetings for the Founder, President, and senior staff.
  • Assist with basic accounting and expense tracking, including preparation of expense reports.
  • Support coordination of property and development-related activities and documentation.
  • Handle incoming calls, emails, and inquiries in a professional manner.
  • Assist with basic office management (supplies, couriers, mail, office equipment service calls).

Education and Experience Requirements

  • A minimum of 5 years of experience as an Administrative/Executive Assistant or equivalent.
  • Excellent time management and strong organization skills.
  • Ability to work both independently with little supervision as well as in a team environment.
  • Highly proficient in MS Office Suite with excellent computer skills, especially in MS Excel.
  • Some basic accounting skills preferred.
  • University degree or equivalent.
  • Paralegal experience and/or experience in the commercial real estate industry preferred.
  • Experience with Perplexity or other artificial intelligence programs (for research, drafting, scheduling, and productivity) would be an asset.
