Administrative & Marketing Coordinator

Position Summary

The Administrative & Marketing Coordinator provides direct support to the Executive Team, with a primary focus on enabling their effectiveness in both internal operations and external visibility.

This role combines executive‑level administrative support with hands‑on coordination of the leadership team’s social media presence and external outreach activities while also lending support for office administration and employee engagement. The position is suited to someone who is organized, proactive, and comfortable supporting senior executives in both operational and externally facing work.

Key Responsibilities

Executive Marketing & External Presence

  • · Support members of the Executive Team in maintaining and developing their professional social media presence
  • · Assist in drafting, organizing, and scheduling content aligned with leadership messaging and market positioning
  • · Monitor and track engagement on social platforms and organize basic reporting
  • · Help identify opportunities for the executive team to increase visibility through media, industry events, and external outreach
  • · Coordinate outreach activities with customers, partners, industry contacts, and relevant government stakeholders
  • · Assist in identifying and organizing potential engagement opportunities with government bodies, industry associations, and public agencies
  • · Support preparation of communications, briefing materials, or summaries for meetings with external and government stakeholders
  • · Maintain organized records of contacts, outreach initiatives, and follow‑ups

HR & Office Administration

  • Provide direct administrative support to the CEO and President
  • Manage calendars, meeting coordination, and travel arrangements
  • Greet visitors and act as a professional point of contact for the office
  • Maintain office supplies and coordinate basic office operations
  • Support the Director of HR, People & Engagement with internal communications, employee engagement initiatives, recruitment marketing, onboarding coordination, training administration, and company culture activities.

· Provide organizational and logistical support for company events, leadership activities, and internal milestones

  • Maintain organized documentation and files

Qualifications & Experience

  • · Experience in a marketing coordinator, marketing assistant, executive assistant, employee engagement, communications, or similar role with a min of 3 years
  • · Strong written communication skills, including the ability to prepare clear and professional correspondence, social media content, internal communications, and stakeholder outreach materials
  • · Familiarity with social media platforms, content coordination, and basic digital marketing practices - with a min of 3 years
  • · Experience planning or supporting employee engagement initiatives, internal events, employee recognition programs, or workplace culture activities.
  • · Strong organizational and time-management skills, with the ability to manage multiple priorities and projects simultaneously
  • · Comfortable interacting with a wide range of stakeholders, including employees, customers, industry partners, government contacts, and senior executives
  • · Ability to coordinate events, meetings, and engagement activities with strong attention to detail
  • · Proficient with Microsoft Office tools
  • · Experience with social media management, email marketing, graphic design, or content creation tools is considered an asset
  • · Comfortable working directly with senior leadership and handling confidential information with professionalism and discretion
