Events Coordinator

Overview
Reporting to the Deputy Head of School, the Events Coordinator coordinates the planning and execution of a wide range of school and community events. The position serves as the primary liaison between stakeholders including staff, faculty, students, the parent association, alumni, donors, vendors, and third-party facility renters.
The position requires handling multiple, time-sensitive responsibilities in a dynamic, fast-paced environment. Regular working hours are 8:00 a.m. to 4:00 p.m., Monday to Friday; however, flexibility to adjust hours for evening and weekend functions is required.
Key Responsibilities and Tasks
1. Internal Event Management & Stakeholder Collaboration
- Work with internal stakeholders (faculty, administration, student groups, parent association) to plan and execute school-based events (e.g., graduations, assemblies, sports days, open houses, fine arts showcases and info sessions).
- Develop detailed timelines, function requests and operational plans for internal event hosts, providing guidance and mentorship to departments.
- Support fundraising, advancement, board meetings and donor stewardship events in collaboration with school leadership and development teams.
2. Operations, Logistics & Vendor Management
- Coordinate setup/takedown schedules for furniture, AV equipment and staging with facilities, custodial and IT departments.
- Liaise with, negotiate and manage relationships with external vendors (catering, staging, decor, security) to maintain a curated list of preferred service providers.
- Research and evaluate suppliers based on quality, cost, timeline and specifications to ensure maximum value for the school.
- Purchase/order food, equipment and event supplies according to event scope and budgetary guidelines.
- Ensure public, event and common spaces are consistently clean, well-staged, presentable and safe.
3. Communications & Financial Administration
- Collaborate with the Marketing and Communications team to ensure event branding, promotion and signage are accurate, attractive and timely across all platforms.
- Manage event budgets, process invoices and track expenses in accordance with school financial policies.
- Partner with the Community Development team to design post-event feedback surveys, compile comprehensive reports and deliver actionable recommendations for future enhancements.
4. Administrative & General Support
- Perform reception duties and other administrative tasks as determined by the Deputy Head.
- Support the rollout and execution of new strategic initiatives and school-wide programs.
- Perform other related duties as assigned.
Education, Experience & Qualifications
- A degree or diploma in Event Planning, Project Management, Hospitality, Public Relations or a related field.
- Proven track record in full-cycle event management (planning through execution) involving multiple stakeholder groups (both internal teams and external clients/vendors).
- Expertise in Google Suite, database management software, and event management platforms.
- A proven professional approach and work ethic
- A satisfactory current Vulnerable Sector Police Record Check
- A satisfactory current Child Welfare Record Check from CAS
- Current First Aid CPR, and AED
- Exceptional interpersonal skills with a proven ability to build trusting relationships with faculty, students, parents, board members, external contractors and vendors.
- Clear, concise and professional written and oral communication skills.
- Ability to stay calm, flexible and resourceful under pressure or in changing, high-stress situations.
- Excellent time-management skills, keen attention to detail and the ability to balance competing deadlines
- High degree of discretion and ability to handle confidential information appropriately.
