Summary

We are seeking a dedicated Shop Service and Parts Coordinator to join our team. Based in our Fort McMurray location, this role is vital in ensuring efficient parts management, and seamless coordination between our service team and technicians to help us achieve our mission of providing top-tier fleet maintenance services.

The Shop Service and Parts Coordinator is responsible for supporting the daily operation of the shop by coordinating workflow, managing parts and materials, assisting with technician scheduling and work assignments, maintaining productivity, supporting quality control, and ensuring efficient communication between technicians, service advisors, vendors, and management. The Shop Service and Parts Coordinator may perform technician duties, as required.

Responsibilities

  • Manage daily parts inventory and procurement processes to ensure timely availability of parts.
  • Coordinate with suppliers and vendors to source quality parts at competitive prices.
  • Collaborate with the service team to schedule repairs and parts delivery.
  • Ensure Company purchasing workflow is implemented and adhered to at all times.
  • Evaluate cost, quality and availability of supplies and parts from vendors, ensuring best price and product.
  • Final accountability (sign off) on all purchases and inventory.
  • Coordinate parts procurement and availability for scheduled work.
  • Review repair orders for required parts and materials.
  • Work with vendors to source parts and expedite urgent orders.
  • Verify parts accuracy and completeness before repairs begin.
  • Monitor inventory levels and identify stock requirements.
  • Assist with inventory counts and inventory control processes.
  • Ensure warranty and return parts are properly handled and documented.
  • Maintain awareness of all active work orders.
  • Monitor technician progress and job status.
  • Ensure work orders are progressing according to schedule.
  • Assist with prioritizing emergency and customer-critical repairs.
  • Help maintain an organized and efficient work environment.
  • As a Journeyman Technician, the Shop Service and Parts Coordinator may also: perform diagnostics and repairs, conduct inspections and troubleshooting, support quality assurance inspections and provide mentorship and guidance to apprentices.
  • Identify opportunities for technician training and development.
  • Understand, implement and enforce the company’s HSE policies, goals, objectives and procedures
  • Participate in hazard assessments and safety meetings.
  • Monitor shop compliance with safety requirements.
  • Report hazards, incidents, equipment deficiencies, and unsafe conditions.
  • Lead by example in the use of PPE and safe work practices.
  • Support compliance with customer, regulatory, and company requirements.
  • Work with the technicians to ensure accurate parts requisitions are provided.
  • Assist Service Advisors with technical information and repair planning.
  • Work with vendors and suppliers regarding parts, warranties, and technical support.
  • Assist with estimating labor requirements and repair timelines.
  • Ensure compliance with safety standards and company policies during all operations.

Qualifications

  • Journeyman Heavy Equipment Technician, Truck and Transport Technician, or equivalent trade certification is preferred.
  • Strong mechanical aptitude and understanding of heavy-duty equipment, trucks, trailers, or fleet maintenance.
  • Experience in a repair shop, fleet maintenance environment, or related industry.
  • Strong diagnostic and repair skills.
  • Knowledge of fleet maintenance operations.
  • Ability to coordinate multiple priorities simultaneously.
  • Strong organizational and communication skills.
  • Valid driver's license.
  • Extensive experience with diagnostic and shop management software.
  • Effective written, verbal and listening communications and an understanding of the impact of timely communication.
  • Very comfortable with technology, proficient with word, excel and industry specific software.
  • Timely decision making and an overall sense of urgency to meet customer demands.
