We're looking for a highly organized, proactive, and tech-savvy Real Estate Administrative Assistant to become an integral part of our growing real estate business.

This role is ideal for someone who enjoys keeping systems organized, managing transactions from start to finish, creating marketing content, and ensuring nothing falls through the cracks.

Our goal is simple: we want someone who can take ownership of the day-to-day operations so our Realtor can focus on what matters most—serving clients, prospecting, negotiating, and growing the business.

Responsibilities

  • Coordinate buyer and seller transactions from beginning to closing
  • Prepare listing paperwork and maintain transaction files
  • Manage CRM and client database
  • Follow up with clients, lawyers, mortgage brokers, and other professionals
  • Schedule appointments, inspections, photography, staging, and open houses
  • Manage calendars and keep projects on track
  • Create and schedule social media content
  • Assist with email marketing campaigns and CRM automations
  • Update websites, MLS-related documents, and marketing materials
  • Maintain organized digital filing systems
  • Monitor and improve business systems and workflows
  • General administrative duties to support the business

Qualifications

We're looking for someone who:

  • Has previous experience in a real estate administrative role (preferred)
  • Has strong knowledge of CRM systems and real estate transaction management
  • Is comfortable with social media marketing and content scheduling
  • Is highly organized with excellent attention to detail
  • Has outstanding written and verbal communication skills
  • Is dependable, proactive, and able to work independently
  • Can prioritize multiple tasks in a fast-paced environment
  • Is proficient with Microsoft Office, Google Workspace, and common real estate software
  • Learns new technology quickly

Requirements

  • Valid driver's licence
  • Reliable vehicle for commuting
  • Available approximately 6 hours per day
  • Comfortable working primarily from the office with occasional local errands
  • Legally eligible to work in Canada

Bonus Skills

Experience with any of the following is considered an asset:

  • MLS and transaction management systems
  • HighLevel CRM
  • Canva
  • Meta Business Suite
  • Instagram, Facebook, TikTok, and LinkedIn marketing
  • Email marketing and automation
