Job Summary

We are seeking a highly organized and detail-oriented Administrative Assistant to support our office operations. The ideal candidate will possess strong clerical and customer service skills, with experience in office management, data entry, and using various software tools. This role is essential in ensuring smooth daily operations, maintaining accurate records, and providing exceptional support to staff and clients.

Duties

Manage front desk responsibilities, including greeting visitors and answering multi-line phone systems with professional phone etiquette.

Perform data entry tasks accurately using Microsoft Office, Google Workspace, and QuickBooks.

Maintain organized filing systems both electronically and physically, ensuring easy retrieval of documents.

Assist with bookkeeping and basic financial recordkeeping using QuickBooks and other accounting tools.

Support customer service efforts by responding to inquiries via phone or email and providing support as needed.

Schedule appointments, coordinate meetings, and manage calendars for staff members

Proofread documents for accuracy and clarity before distribution.

Handle administrative tasks such as copying, scanning, faxing, and mailing correspondence, ordering office supplies and other office material in support of company operations.

Establish and run the office activities.

Preparation of invoices, reports and other relevant material.

Supervison and coordination of business activities and workers.

Skills

Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications

Strong computer skills with the ability to learn new software quickly

Experience with QuickBooks or bookkeeping software is preferred

Excellent organizational skills with the ability to multitask efficiently in a fast-paced environment

Strong data entry skills with high accuracy and attention to detail

Clerical experience in an office setting, including filing and document management

Exceptional customer service skills with professional phone etiquette for handling multi-line phone systems

Ability to proofread documents thoroughly for errors and clarity.

Ability to support front desk operations effectively while maintaining a friendly demeanor.
