Job Summary

The Production Coordinator plays a critical role in maintaining an efficient, profitable, and customer‑focused service department. By coordinating workflow and ensuring timely communication, this position directly impacts technician productivity, customer satisfaction, and the overall success of Lakehead Motors.

Responsibilities

  • · Work Assignment & Dispatching — Assign repair orders to technicians based on skillset, availability, and shop load to maximize productivity.
  • Workflow Coordination — Monitor RO progress, technician time, MPI completion, and ensure jobs move through the shop without delays.
  • Communication Hub — Maintain clear communication between advisors, technicians, parts, warranty, and management.
  • Repair Order Review — Verify RO accuracy, required parts, customer concerns, and special instructions before dispatching.
  • Customer Promise Management — Support advisors by ensuring work is completed within promised timelines and communicating any changes.
  • Prioritization & Load Balancing — Manage urgent repairs, quick‑lane flow, comeback concerns, and warranty requirements.
  • Quality & Compliance — Ensure documentation is complete, safety protocols are followed, and Lakehead Motors’ service standards are upheld.
  • Daily Operational Support — Update production boards, participate in morning meetings, and assist in achieving department KPIs.
  • Problem Resolution — Identify bottlenecks, escalate issues, and collaborate with leadership to maintain smooth shop operations.

Requirements

  • Experience in automotive service operations, dispatching, or shop coordination preferred.
  • Excellent communication, multitasking, and decision‑making abilities.
  • Ability to work in a fast‑paced environment with shifting priorities.
  • High attention to detail and strong organizational skills.
  • Decision‑Making: Assigns work effectively and adjusts priorities quickly.
  • Communication: Maintains clear, professional communication across all service roles.
  • Time Management: Manages technician productivity and RO timelines.
  • Problem‑Solving: Identifies workflow issues and implements solutions.
  • Team Collaboration: Works effectively with advisors, technicians, and management.
  • Customer Focus: Supports a service environment that delivers consistent, high‑quality customer experiences.
