We are currently hiring for a Software/Applications Specialist.

Reports To: Director of Operations/IT Manager

Job Summary:

The Applications Support Specialist is responsible for the administration of firm-wide business applications and systems. Acting as a subject matter expert, this role ensures the effective operation, accessibility, and continuous improvement of supported technologies, while delivering high-quality end-user support.

Key Responsibilities are, but not limited to:
  • Serve as a subject matter expert (SME) for supported applications
  • Support assigned business applications (e.g., Microsoft Office – including Teams and SharePoint), NetDocuments, ACL, Zoom, etc.)
  • Monitor system performance, troubleshoot and resolve application issues, escalating complex problems as needed
  • Assist with the implementation, integration, and ongoing maintenance of new AI systems, ensuring alignment with business objectives, system security and reliability, and data accuracy
  • Provide onboarding training and ongoing support to end-users
  • Develop and maintain system documentation, training materials, and user guides
  • Responsible for Word template and forms
  • Responsible for WordPress backend and general maintenance and accessibility for firm websites, including general website content, individual biographies, etc.
  • Maintaining telephone systems
  • Maintain firm security system and security pass maintenance
  • Prepare digital materials and sponsorship-related assets using Adobe Creative Suite (Photoshop, InDesign, Illustrator), including managing and working with various image file formats.
  • Assist with file extractions from various programs for file transfers, etc.
The ideal candidate will have:
  • 5+ years of experience supporting or administering business applications in a law firm or professional services environment.
  • Training and user support administration experience
  • Information Technology, Computer Science (or related field) Certificate or Diploma
Skills & Competencies:
  • Knowledge in the various programs would be an asset:
    • NetDocuments
    • Microsoft Office including Teams & SharePoint
    • Adobe Suite (Illustrator, Photoshop, Indesign)
    • WordPress and html code
    • Kofax Power Pdf Advanced
    • Automated Civil Litigation (ACL)
    • Avaya IP Office Manager
    • Docusign
    • Fax Cloud
    • Zoom
    • Philips Enterprise/Speech Live Dictation system
    • ProLaw knowledge an asset
    • Electronic Signatures and digital commissioning stamps

The anticipated base annual salary range for this position is $65,000.00 – $85,000.00. This range represents the anticipated compensation for the position in compliance with Ontario’s pay transparency requirements. The actual compensation offered to the successful candidate may fall above or below this range, depending on factors such as relevant experience, demonstrated skills, market conditions, and internal equity. Final compensation will be confirmed upon completion of the recruitment process.
