Import/Export Administrator

ODC Tooling & Molds is a well-established company that has been evolving for over 90 years to excel as a world-class leader in designing and manufacturing custom tooling and engineered cutting dies. ODC is a family run business that empowers its employees and utilizes their skills and abilities to service a large diverse customer base with a focus on thermoformed plastics and automotive form and trim tooling. Operating out of two facilities and servicing a worldwide market with a strong team environment, innovative ideas and a customer service-oriented philosophy, ODC continues to move forward in an ever-changing industry. The successful candidate will be joining our team at our newly built facility in north Waterloo.

ODC Tooling & Molds is currently seeking an individual who possess the organizational and multi-tasking skills for this diversified position.

Position: Customs Import/Export Administrator is responsible for achieving customer satisfaction by providing efficient and effective planning and coordination of customer shipments.

Responsibilities & Qualifications:

  • Minimum 3 years working experience
  • Experience and knowledge of current customs procedures and regulations
  • Knowledge of harmonized tariff codes and its applications
  • Hands on experience dealing directly with customs agents & brokers for inbound/outbound freight
  • Knowledge of customs information software (Russel Farrow & A.N. Deringer)
  • Ability to produce customs documents, BOL’s and certificates of origin for shipments
  • Working knowledge for both international and cross border shipments
  • Arrange various forms of transportation of goods
  • Familiar with shipping/freight options and capacities
  • Work with third party logistic companies to obtain quotations & secure services
  • Knowledge of trucking terminology and experience coordinating shipments (load planning, expediting, etc.)
  • Knowledge of various carrier software – (FedEx, UPS, DHL, XPO, FedEx Freight, UPS Freight, etc.)
  • Working knowledge of transportation cargo claims, transportation laws and risk management
  • Understand current industry market conditions ie. Tariffs
  • Communicate any carrier issues that might impact operations
  • Provide freight quotation for outbound/inbound shipments
  • Coordinating shipments according to timelines provided by project management.
  • Maintain and update databases
  • Track goods in transit and trace shipments to the destination
  • Provide various administrative & communication assistance within the Project Management department.
  • Maintain relevant files and databases
  • Possesses excellent English language communication skills (both oral and written)
  • Ability to multitask in a fast-paced team environment
  • Proficiency in Microsoft Office applications (Outlook, Excel, Word)
  • Excellent time management and priority setting abilities
  • Demonstrate analytical & problem-solving capabilities
  • Willingness to take on additional duties and responsibilities as needed

  • Working Conditions:
  • Office environment with shared workspaces
  • Factory setting for periodic activities which includes the need for personal protective equipment such as safety boots, glasses, gloves and hearing protection
  • Job requires to work well with supervisors and co-workers, accepting constructive criticism
  • Willing to work overtime (after hours and weekends), as required, to meet deadlines

  • Works under general instructions to prioritize and complete assigned tasks
  • Tasks are periodically checked by supervisor
