About Us

At our modern dental practice in Oakville, we are dedicated to providing exceptional, patient centered care in a warm and welcoming environment. We pride ourselves on our collaborative team culture, clinical excellence, and strong relationships with our patients. We are looking for an organized, charismatic, and detail-oriented Dental Receptionist / Administrator to join our team as the primary face and voice of our practice.

The Role

As our Dental Administrator, you are the first point of contact for our patients. You will manage the daily flow of the office, ensure the schedule runs smoothly, and provide a seamless, positive experience from the moment a patient walks through the door or reaches out over the phone.

Key Responsibilities include but not limited to:

  • Patient Experience: Greet patients warmly, manage check-ins/check-outs, and handle incoming phone calls and emails with a professional and friendly demeanor.
  • Scheduling Excellence: Optimize the daily schedule using ABELDent to maximize clinical efficiency, manage recall systems, and minimize booking gaps.
  • Financial Administration: Process patient payments, submit electronic insurance claims (EDI), handle pre-determinations, and follow up diligently on outstanding accounts receivable.
  • Treatment Coordination: Clearly explain treatment schedules, insurance pre-determinations, and financial options to patients, helping them comfortably navigate their care plans.
  • Office Flow: Maintain highly accurate digital patient records, manage clinical correspondence, and collaborate closely with the clinical team (dentists, hygienists, and assistants).
  • Maintaining a clean work environment

Qualifications:

  • 1-2 years of experience in an administrative or receptionist role ideally in the dental industry
  • Software Mastery: Hands-on proficiency with ABELDent software is required.
  • Candidates must be confident navigating schedules, ledger billing, and digital patient charts within this system.
  • Must be a team player with a proactive approach to work
  • Communication: Exceptional verbal and written communication skills with a natural ability to build rapport and put patients at ease.
  • Strong organizational skills and multi-tasking abilities, a keen eye for detail, and the capability to stay calm, collected, and organized in a fast-paced environment as well as difficult situations
  • Team Player: A positive attitude, a strong professional work ethic, and a genuine desire to contribute to a highly supportive team environment.
